Hours are from Monday to Friday 10:00 am to 3:00 pm.
We are located in beautiful Parksville, British Columbia, just minutes from the waterfront. The office is on the top floor of the complex which allows for views of the water, an outdoor patio, and plenty of natural light. The firm has been in business for 26 years and has a reputation of exceptional client service and dedication to our staff.
As the first point of contact for clients, you will bring a balance of professionalism and tact when greeting visitors and answering the phone.
This position involves a variety of administrative, reception, and legal specific tasks for which the ability to change focus and prioritize duties is an asset.
**Job Duties**
- Greeting clients and visitors and answering visitor inquiries
- Answering and routing incoming calls on a multi-line telephone system
- Scheduling and directing clients to appointments
- Maintaining and scheduling conference rooms
- Ordering office supplies from online and local suppliers
- Scanning, photocopying, faxing and filing documents
- Collecting and routing mail and send/receive packages via courier
- Verifying client identification and taking client payment using a point of sales system
- Opening and assisting with client files
- Assisting with corporate files
- Filing Annual Reports
- Assist lawyers as needed
- Creating invoices
- Lifting water jugs and file boxes
- Assist with Wills printing and signing
- Walking and driving to banks for deposits
- Compiling and completing FCT & Vanguard files for signing
- Other duties as requested
**Education**
A high school diploma is required. You will have a minimum of 1 year’s experience within a law office receptionist role. Preference with formal office education or training and experience in a law office. On-the-job-training will be provided. Valid driver’s licence and access to a vehicle is required.
**Skills**
Must possess excellent interpersonal and customer service skills to communicate with senior level lawyers, partners, clients, opposing counsel, vendors, staff, and others. Must also have the ability to operate multi-line telephone systems and office equipment such as computers, printers, scanners, and copiers. Experience with video conferencing equipment a plus. Strong spelling and grammar skills are important for taking effective messages and drafting correspondence/reports. Familiarity with legal terms and jargon and an understanding of various office forms and legal documents is preferred. Must also be familiar with outlook, Microsoft word and Excel.

**Hours of Work**
The hours of work are Monday to Friday 10:00 am to 3:00 pm.
**Wage**
Competitive wage, depending on experience. Includes a health spending account.
**Salary**: $25.00-$40.00 per hour
