**Position Description**:

This position provides administrative support to the managers of the Surgical Program, their programs and portfolios: 7 Surgical and Fracture Clinic, 6 GI and GI Motility Clinic, Chest and ENT Clinic, Operating Room, Minor Procedures Room and Perioperative Booking Office, Post Anesthetic Care Unit, Day Surgery Unit, Endoscopy Unit.
This position requires mastery of office skills and ability to assume responsibility without direct supervision. The Administrative professional demonstrates initiative, exercises advanced judgment, and sets own priorities and makes decisions within the scope of his /her authority. This position maintains all internal office procedures as listed in the job description.
**QUALIFICATIONS**
- Must have two-year post-secondary diploma in Medical Office Administration
- Minimum two-years’ experience providing administrative support in a hospital setting
- Demonstrated commitment to the values of Service, Responsible Stewardhip, Community Responsiveness and Respect
- Intermediate skill level is required for Microsoft Word, Excel, PowerPoint, spelling, keyboard/typing skills, medical spelling and medical terminology
- Able to shift priorities from one task to another and one manager to another depending on emergent needs and priorities
- Excellent organizational skills, be able to accept responsibility, plan, set own priorities, complete tasks, and be capable of independent judgment and follow through without direct supervision
- Ability to use tact and diplomacy and demonstrated ability to work effectively under pressure
- Excellent interpersonal skills and the ability to maintain strict confidentiality
- Effective communication skills dealing with members of the multidisciplinary team
- Excellent organization and analytical problem-solving skills
- Possesses strong working knowledge of Collective Agreements
**RESPONSIBILITIES**
- Provides administrative support for 5 managers including managing portfolios, calendars and meetings.
- Supports the activities of a number of departmental and committee meetings i.e. coordinates booking schedules, attends meetings, records and transcribes minutes and distributes agenda items/minutes
- Creates memos on behalf of managers
- Follows through on financial accountability of rental equipment, specialty mattresses, patient transportation, lost items through Basware
- Sourcing and ordering of equipment and supplies, completing forms for capital requests, contingency requests
- Researches new products and/or equipment, requests quotes from vendors, single vs sole source knowledge
- Places orders through HEMM, Staples and other vendors
- Manages payroll corrections
- Assists with creation and updates of staff schedules
- Assists Managers with staff interview processes: schedules interview, provides interview packages, checks references
- Completes RFSs for new staff hires, IT accesses and schedules EPIC/Dovetale training for new staff
