We are seeking a dedicated and detail-oriented Admin and Medical office assistant / Clinic Care Coordinator to ensure the seamless operation of our clinic and enhance our patients' experience. If you have a keen eye for detail, excellent organizational skills, and a warm, professional demeanor, we want to hear from you Availability: 3-5 days a week Monday through Saturday. The following are a highlight of the duties & responsibilities of this role:
- Greet and welcome visitors and clients to the clinic; make them comfortable while taking information regarding their visit to the clinic.
- Develop a rapport with our clients and keep a focus on the client experience.
- Be knowledgeable, confident and proficient in clinic treatments and products. (with clinic training).
- Being able to make general recommendations to clients who inquire about our treatment options. Being educated and have a good understanding about our treatments and clinic policies (with training)
- Manage client custom requests with team members as well as other administrative work pertaining to client follow up and experience.
- Ensure that the stationery needed for the smooth operation of the reception desk are always available. Stocking required areas.
- Ensure that the clinic is opened at the appropriate time and cleaning of the clinic to create a clean and healthy environment.
- Launder clinic linens and helping practitioners turn beds. Maintaining the cleanliness of the clinic.
- Being open, able and proactive in collaborating with other team members.
- Ensure that client information is accurate and updated from time to time.
- Check stock of equipment & supplies and inform management of shortages.
- Collect payments for services and retail sales. Manage memberships.
- Inventory and understanding new products. Being able to make good recommendations on retail.
- Coordinating treatment plans and following up with clients
- Coordinating and scheduling meetings and team events.
- Enjoy opportunities to gain exposure to other areas of business including marketing, design, client relations and business development. Requirements:
- Minimum of 2 year Front Desk experience.
- Minimum of 2 years Sales / Administrative experience.
- Experience in the Aesthetic / Beauty industry.
- JaneApp (strongly preferred)
- Contribute to our Social Media presence and be consistent
- The passion and drive to build and maintain a busy practice that is patient-focused and centered around all aspects of exceptional patient care.
- Consistent high level of work, ethics and standards of practice.
- Must have a passion and understanding for the aesthetic industry.
