The Secretary to the Board of Governors (BOG) is responsible for senior level administrative support which contributes to the smooth functioning of the University’s governing body, the Board of Governors and its related committees. Support of the Board of Governors and its committees include managing all aspects of scheduling meetings, retreats, orientation sessions for new members, distribution and preparation of meeting notices, agendas, minutes, meeting materials and arranging travel. This position also facilitates the implementation of the University’s policy framework for university-wide policies and the process of ensuring that all University-wide policies (approved by the Board of Governors) are accurate and current, upon approval gathered and directed back to the appropriate unit/departmental authority, accurate, and available to all staff.
- Key responsibilities for this position include:

- Builds and maintains good working relationships with the University Executive and Board of Governors to efficiently prepare for all aspects of the Board of Governors and its committees’ meetings, to include but not limited to calling for agenda items for agenda creation, recording and transcription of minutes, compilation and distribution of agenda and materials far in advance of meetings.
- Filing and archiving of official records for the Board to include maintaining the Board of Governors Minute Book. This entails follow-up on decisions made for distribution to those parties affected and effectively indexing of this information in an accessible format for future reference.
- Responsible to ensure that the Board of Governors Minute Book is kept up to date and includes all materials required by law such as letters patent, articles of incorporation, annual return, Governor lists, board and committee meeting minutes, financial minutes.
- Ensure that _The Board of Governors Handbook_ is up to date and current, which includes the Board of Governors Bylaws that require periodic review and approval.
- Ensure confidentiality agreements and related party documents are signed and appropriately stored.
- Participate in budget meetings monitoring of expenditures related to Board including attendance for payment of per diems and travel expenses.

**Education Requirements**:

- A relevant undergraduate degree is required. A Bachelor of Administration degree is an asset. A combination of education and experience may be considered. Knowledge of Indigenous cultures, protocols, and perspectives.

**Work Experience Required**:

- Minimum of 5 years progressively responsible experience providing senior level administration (preferably in a post-secondary setting) including administrative and communication support. The ability to work effectively and discretely with confidential information is essential.
