Job Summary:
Key Responsibilities:
**Bookkeeping**:

- **Financial Recordkeeping**:

- Maintain and update the company’s general ledger with accurate recording of financial transactions (e.g., income, expenses, payments).
- Manage accounts payable and accounts receivable, including invoicing clients, tracking payments, and paying bills.
- Reconcile bank statements and financial accounts regularly to ensure accuracy.
- Track and monitor company expenses, ensuring proper documentation and approval.

- **Payroll Processing**:

- Process payroll for all employees, ensuring timely and accurate payments.
- Maintain payroll records, track employee deductions, and ensure compliance with payroll tax regulations.
- **Financial Reporting**:

- Prepare monthly, quarterly, and annual financial statements, including profit & loss reports, balance sheets, and cash flow reports.
- Assist in budgeting, forecasting, and financial planning by providing timely financial data and insights.
- **Expense and Budget Management**:

- Monitor the firm's expenditures, ensuring that spending aligns with the company’s budget.
- Identify areas for cost-saving opportunities and improve financial efficiency where possible.

**Compliance Administration**:

- **Regulatory Compliance Monitoring**:

- Ensure compliance with local, provincial, and federal regulations, including tax laws and industry-specific financial standards.
- Develop, implement, and monitor internal financial controls and procedures to align with regulatory requirements.
- Assist with the preparation of documents and reports for audits and regulatory inspections.
- **Client Trust Account Management**:

- Manage client trust accounts, ensuring compliance with provincial bar and the Saskatchewan law society regulations.
- Regularly reconcile trust accounts and ensure accurate handling and allocation of client funds.
- **Risk Management**:

- Identify potential risks related to non-compliance with financial or regulatory standards.
- Address compliance concerns proactively and implement corrective measures to avoid future issues.
- **Audit Support**:

- Prepare and organize documentation required for internal and external audits.
- Perform internal audits of financial and compliance systems to ensure the firm’s operations align with legal and regulatory standards.

**Administrative Support**:

- **Document Management**:

- Assist with filing and organizing financial documents, ensuring they are readily accessible for audits or reviews.
- Assisting with case file documentation as requested.
- **General Administrative Assistance**:

- Provide support with administrative tasks, including scheduling, maintaining a clean workspace, and general correspondence when needed.
- Any additional duties as requested
- Case law research
- **Administrative Support for Doug**:

- Provide additional support to assist Lawyers with whatever they need.

Skills and Qualifications:

- **Experience**: Proven experience in bookkeeping and compliance administration, preferably within a law firm.
- **Attention to Detail**: Exceptional accuracy and attention to detail in financial recordkeeping and compliance monitoring.
- **Regulatory Knowledge**: Familiarity with local, provincial, and federal regulations related to financial management and compliance for law firms.
- **Technical Proficiency**: Strong knowledge of accounting software (Unity) and Microsoft Office Suite (Excel, Word).
- **Organizational Skills**: Strong organizational skills with the ability to manage multiple responsibilities simultaneously.
- **Communication Skills**: Strong written and verbal communication skills for interacting with clients, auditors, and staff.
- **Problem Solving**: Ability to identify compliance risks and resolve issues promptly and effectively.
- **Confidentiality**: High level of integrity and discretion in handling sensitive financial and compliance matters.

Pay: $35,000.00-$50,000.00 per year

- Secondary School (preferred)

**Experience**:

- ESI Law / Unity bookkeeping software: 1 year (required)
- Bookkeeping: 2 years (required)
- Law Firm Administration: 1 year (required)
