**Who we are**:
Peel Public Health aims to improve early child development outcomes for all children in Peel to promote lifelong health and well-being, reduce disparities and improve the health status of the population. This position is responsible for project management documentation and information management processes. You will serve as a liaison between intra
- and inter-departmental project teams, coordinate and manage small projects, and assist teams with research activities, the procurement of services, writing reports, planning and communication activities.
**What you will do in this role**:
- Organizes data into usable formats:
- Participates in the Divisional dashboard development and ongoing maintenance
- Supports and maintains data management processes related to program performance measurement
- Creates charts and tables to summarize key Divisional content, activities, and priorities
- Summarizes ideas and concepts and presents them in a logical and creative format
- Develops and disseminates communication materials:
- Applies advanced computer skills to create audiovisual materials and communication pieces with current technology (e.g., Microsoft 365, including Excel, Visio, SharePoint, Adobe Creative Suite)
- Documents discussion and actions at project meetings to facilitate communication and efficiency
- Develops research information products (e.g., reports, summaries)
- Supports research on relevant topics to support communication needs (e.g., Council Reports, government policy documents, presentations, etc.).
- Supports knowledge translation products and events
- Designs effective spreadsheets and databases to support division wide reporting
- Coordinates the audio and video set up and equipment / software needs
- Ensures key project milestones and deliverables are documented according to project management guidelines
- Coordinates Holiday Schedules for divisional programs
- Facilitates communication to key partners and stakeholders:
- Coordinates internal and external communications for the division
- Prepares and supports development of written communication materials (e.g., newsletters, website updates, project one-pagers, executive summaries, divisional presentations)
- Support the leadership team to prepare budget submissions
- Coordinates divisional events which may include internal or external partners
- Uses project management strategies and tools to:
- Assist with project management activities (e.g., maintains work plans and timelines with input from project leads, meets with stakeholders, documents roles & responsibilities, tasks and activities in project management templates)
- Facilitate effective collaboration between project team members and stakeholders
- Prepares for planning meetings with external partners:
- Liaises with external facilitators, following up on meeting actions
- Gathers, prepares, and distributes materials in advance of partner meetings
- Records comprehensive meeting notes
- Coordinates the acquisition of services and supplies:
- Liaise with purchasing to secure and maintain project supplies
**Qualifications**:
- Successful completion of an undergraduate degree (i.e., health or business administration preferred) plus a minimum of three years related experience or an equivalent combination of experience and education
- Experience working in a project management environment is an asset

- Effective time management, organization skills and strong problem-solving skills
- Demonstrated tact and diplomacy with proven conflict resolution and collaboration skills
- Excellent verbal and written communication and interpersonal skills
- Proven ability to proactively manage multiple tasks, changing priorities and competing demands in a fast-paced environment
- Demonstration of strong self-motivation and self-direction within a collaborative team environment
- Advanced computer skills: Microsoft 365, MS Visio, Adobe Creative Suite, SharePoint, social media platforms
- Ability to learn new technology quickly
