JOB OVERVIEW
Reporting to the Senior Manager of Philanthropy, Annual Giving, the Events Contractor will be responsible for the successful execution of Homes for the Holidays 2024 event in November 2024. This includes working with the Take a Hike team to identify, cultivate, and steward new and existing donors, while working closely with external vendors and a volunteer committee, on all aspects of the event, from planning to execution to post-event reporting.
ORGANIZATIONAL STATUS
Take a Hike empowers youth who experience vulnerability to change the trajectory of their lives with a full-time mental health and emotional well-being program embedded in an alternate education classroom. Take a Hike engages youth with intentional, continuous clinical counselling, experiential land-based learning, and community. Our public school district partners provide high quality education, and together, we empower youth with the skills and resilience they need to graduate high school, build healthy relationships, and achieve success - however they define it.
RESPONSIBILITES AND DUTIES
Event Management
- Project manage full-cycle event planning for Take a Hike’s philanthropic event: Homes for the Holidays 2024, including the Event Program and Resources, Volunteer Management, Media, Sponsorship, Promotion, Ticketing and Post-Event Stewardship
- Develops strong partnership with the volunteer committee to ensure the overall success of the event, including fundraising goals
- Manage allocated events budget(s) with support from the Development team
- Organize logistics, supplies, resources, entertainment, or any other needs for day-of event execution
- Recruit, coordinate, and manage event volunteers as required
- Ensuring an excellent guest experience for all attendees, sponsors and stakeholders

Revenue Generation
- Work with the Take a Hike fundraisers to identify and develop revenue-generating activities such as ticket sales, general donation and cash sponsorship solicitations
- Project manages the Silent Auction, Raffle, Wreath Sales and Boutique Boulevard logistics
- May support the fundraising team with the organization and creation of sponsorship packages, as needed
- Track all prospects, donors, activities, proposals, reports, deadlines, and relationships via CRM

Other Duties as Required
- Attend relevant meetings
- Assist where required within the scope of role
- Willingness to work flexible hours as event schedule dictates

QUALIFICATIONS AND SKILLS
- Post-secondary diploma (or certificate) in event management, marketing, communications, business administration, or a related field
- 3-5 years’ of recent related experience planning, managing and promoting events ideally in a fundraising environment
- Proven success in cultivating, securing and growing revenue from ticket sales, sponsors and/or in-kind partners
- Knowledge of fundraising streams and levering events as engagement and fundraising mechanisms
- Sound project-management skills with ability to multiple priorities with high attention to detail
- Excellent interpersonal, communication, and presentation skills with the ability to professionally connect with and influence a diverse group of individuals, particularly with leadership, volunteers, committees, and vendors
- Creativity and proactive self-starter who is comfortable operating in a complex environment
- Ability to identify and resolve issues, sometimes requiring a high degree of diplomacy and discretion
- IT literacy, strong computer skills; comfort with Microsoft Office suite and basic knowledge of CRM databases (Salesforce is an asset)
- Satisfactory completion of a criminal reference check with vulnerable populations

TERMS & COMPENSATION
This is a contracted position based in our Vancouver, BC office with a minimum of one day a week in the office required. The contractor must be available for the Homes for the Holidays event dates between Thursday, November 21 to Monday, November 25 and may include evenings and weekends prior to those dates, dependent on the needs of the event.
The compensation is $40 - $50 per hour, commensurate with experience, with requirement that the contractor work a minimum of 20 hours per week.
This position is a temporary contract based that ideally would start on or near October 15, 2024 and would complete on or near December 6, 2024. This contract is ineligible for benefits.
