**Executive Assistant **(Full-Time)**

**Summary of Position**:
Camphill Communities Ontario is a not-for-profit organization that provides support to people with cognitive and developmental disabilities, CCO is seeking a full-time ( 35 hours/week) Executive Assistant as part of central administration to provide administrative and clerical support to the Executive Director (ED).

Reporting directly to the Executive Director, the Executive Assistant provides comprehensive support in a one-on-one working relationship, serves as the primary point of contact for stakeholders on all matters pertaining to the Office of the Executive Director and as the liaison to the Board of Directors, committees, and the Senior Management. The Executive Assistant will also provide support on governance matters and special projects. This position comes with **group benefits after a successful probationary period**.

**Duties and Responsibilities**
- Provide extensive administrative support services to the ED, management team and the Board of Directors contributing to the professional operation and communications of the organization.
- Coordinate the calendar, appointments and meetings for the ED, and ensure pending issues are brought forward to the ED according to appointments, deadlines and reporting requirements.
- Manages all aspects of the organization’s administrative documentation, including records maintenance, retention/archiving, Individual files management and compliance/accreditation-related documentation management.
- Evaluates and assists management teams with developing, maintaining, editing and reviewing organizational policies and procedures, including HR, Finance, Service Delivery, and Governance.
- Serve as a member of the accreditation team, assist with all necessary compliance (QAM) and accreditation (CQL), such as updating policies, procedures, and other documentation as required as per the audit directives.
- Establish and maintain positive working relationships and communications with key internal and external stakeholders with discretion, tact and courtesy
- Draft and review documents, meeting materials, reports, and correspondence for the Executive Director for format, content, grammar, spelling and make edits as necessary
- Assume responsibility for projects on behalf of the Executive Director and assist with other special projects as assigned; track, review and communicate progress and deadlines
- Provide organizational administrative support to senior management meetings, annual general meeting and special events.
- Facilitate all communication to and from the Board of Directors and Board Committees
- Coordinate Board meeting agendas, prepare supporting documents, meeting logistics, record and maintain Board and Board Committee minutes
- Ensure all bylaw requirements and processes for the annual general meeting are met.
- Participates as an adjunct member of both the senior leadership and extended leadership teams including scheduling meetings, coordinating the agenda, taking minutes and tracking action items.
- Performing any other assigned tasks or duties as required or directed by Executive Director and Senior Management team e.g. assisting Senior Management with the DCSIS database (DSO database), AIMS database (Document management), and SOR-RL database (serious occurrence).

**Qualifications and Experience**:

- Diploma or post-secondary degree in applied business or other relevant studies, or an equivalent combination of education and experience
- Significant executive support experience, at least two (2) years of direct Executive Assistant experience, ideally in a Not-for-Profit setting.
- Strong ability to execute work with a diversity, equity, and inclusion lens.
- Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials will be an asset.
- Intermediate technical proficiency and problem-solving skills related to, IT infrastructure and support.
- Excellent written English language skills with proven ability to prepare executive-level communications and reports
- Strong interpersonal skills, including maturity, diplomacy and the ability to create and maintain positive relationships
- Demonstrated high level of initiative, judgement and problem-solving ability
- Ability to excel while working as part of a team and independently
- Demonstrated ability to use discretion in dealing with highly sensitive and confidential issues
- Ability to manage all stages of a project to completion
- Strong ability to multi-task and manage competing deadlines while maintaining a high level of accuracy in documentation and reporting
- Ability to work flexible hours, including evenings and weekends
- Experience working in the Developmental Services Sector is an asset.
