Assistant Manager

Vickers Manor Seniors Residence is a growing independent seniors living community in Thunder Bay.

As we continue through an exciting phase of redevelopment and rebranding, we are seeking two dependable and motivated **Assistant Manager(s) - Full-time and Part-time** to support daily operations and contribute to the continued growth and professional transformation of our residence.

**Purpose of Role**:
The Assistant Manager report directly to the CEO and supports/manages daily operations, staff coordination, resident relations, and administrative functions while ensuring a safe, compliant, and welcoming environment. The role includes after-hours on-call responsibility in rotation with another Assistant Manager.

**Operations & Staffing Support**
- Manager and oversee daily staffing operations across housekeeping, kitchen, and maintenance
- Ensure daily logs, shift reports, and internal communication standards are consistently met
- Act as a point of contact during assigned shifts to support staff and resolve issues

**Facility & Maintenance Support**
- Conduct regular building walkthroughs to ensure cleanliness, safety, and functionality of resident and commercial areas
- Direct housekeeping and maintenance teams to ensure timely resolution
- Support proactive maintenance planning and follow-up
- Assist in maintaining building compliance with applicable regulations

**Resident & Community Relations**
- Build and maintain respectful relationships with residents, families, and commercial tenants
- Respond to concerns with empathy, professionalism, and timely follow-up
- Support resident wellness initiatives and community activities

**Compliance & Administration**
- Assist and maintain clear documentation, incident reporting, and adherence to policies and safety protocols
- Support coordination with external partners such as Thunder Bay Public Health, Fire Services, and City inspectors
- Maintain accurate records using ShareDrive/OneDrive and other electronic systems
- Maintain proper resident/guest and family logs

**Financial & Operational Duties**
- Complete monthly bank deposits and assist with basic administrative financial tasks
- Perform small pick-ups or last-minute/emergency runs (supplies, documents, or operational needs) as required

**On-Call & Emergency Response**
- Participate in a rotating on-call schedule with the other Assistant Manager and to after-hours emergency calls and urgent operational matters
- Coordinate appropriate responses and escalate issues to senior leadership when necessary

**Marketing & Occupancy Support**
- Assist with resident tours, and inquiry follow-ups
- Support marketing initiatives and community outreach efforts
- Track prospective resident inquiries and maintain accurate records

**Qualifications**
- Experience in managerial position, hospitality, property management, retirement living, healthcare administration, or a related leadership/support role
- Strong organizational, problem-solving, and communication skills
- Ability to multitask and adapt in a fast-paced, evolving environment
- Resident-focused mindset with excellent interpersonal skills
- Comfortable with hands-on responsibilities and after-hours availability
- Proficient with digital tools and reporting systems
- Valid driver’s license and ability to complete occasional pick-ups or errands

**Assets (Preferred but Not Required)**
- First Aid/CPR, Food Safety, WHMIS, or Occupational Health & Safety training (or willingness to obtain)
- Union/HR Experience
- Experience with marketing, community outreach, or event coordination
- Knowledge of seniors living or healthcare environments

**Job Types**: Full-time, Part-time, Casual

Pay: $21.80-$24.00 per hour

Expected hours: 40 per week
