Scheduling Coordinator

The Scheduling Coordinator for Connecting Care (2000) Inc. will be responsible for driving efficient and effective scheduling processes and best practices that align with Connecting Care’s vision, mission, philosophy, and strategic plan. This role is very process oriented and will be responsible for implementing and overseeing scheduling services and providing the team training on Wellness Strategies, and processes to be maintained by all Employee Care Partners.
Attention to detail will be crucial for success in this role as the Scheduling Coordinator will need to ensure Employee Care Partners (ECP) are scheduled appropriately and in alignment with budgets, and ECP pay data is captured in accordance with company Wellness Strategies (policies, procedures), provincial employment legislation, budgets, and applicable collective agreement provisions. This care partner role reports to the Director of Human Resources and collaborates with directors and managers.
**As a member of our Care Partner Team, your role will include**:
- Ensuring alignment of strategic priorities applicable to People Management.
- Being an ambassador for company, communities, stakeholders, and the Eden Philosophy.
- Collaboration with internal leaders to ensure change initiatives and goals demonstrate the principles of appropriate choice, dignity, privacy, independence, and individuality in accordance with the Mission, Vision, and Core Values.
- Understanding the Domains of Wellbeing and its impact on daily interactions.
- Building and maintaining positive relationships with key stakeholders.
- Exploring areas of improvement and innovation in alignment with the Mission, Vision, & Core Values.
- Following Well-Being Strategies and promote the mission, vision, and culture.
- Participating in the development or revision of Wellness Strategies by providing feedback and suggestions and ensures that employee care partners are aware of new or revised Wellness Strategies.
- Managing the master scheduling database.
- Training and mentoring ECPS responsible for community scheduling.
- Preparing and updating Master Service Time Rotations (MSTR) based on the Master Service Agreements (MSA).
- Supporting operations with ECP scheduling requirements.
- Be an active liaison with the People team (Payroll/HR), finance, and operations regarding configuration, setup, and timecard processing.
- Collecting & compiling reports and statistics as required.
- Creating and maintaining user training documentation and train ECPs as required on the scheduling process.
- Supporting systems-based call out system.
- When required, supporting community with filling pre-booked and immediate service times.
- Entering data for payroll.
- Assist with FIRMS reporting.
- Responding to external audit requests and lead internal audits.
- Exhibiting excellent customer relations and consistently showing courtesy, caring, understanding, compassion and respect to all stakeholders.
- Always maintain a high level of professionalism.
- Participating in ongoing educational programs to update knowledge on applicable topics.
- Maintaining confidentiality including but not limited to accountability of all care partners. Breach of confidentiality is serious and may result in disciplinary action up to and including termination.
- Audit and identify any health, safety or maintenance issues, and reports/documents as required.
- Participate in the after-hours call in process as required.
- Provide Human Resources & Payroll administrative support, as required.

**Growth Partner**:
This role will report to the Director of Human Resources. As the Growth Partner for the role the Director of Human Resources will provide support, guidance, timely feedback, check-ins, and learning and development as needed to ensure success.
**Education and Certification**
- Completion of post-secondary education (e.g., Business/Office Administration) required.
- Related post-secondary diploma/degree or a comparable combination of applicable skills and experience may be considered.
**Experience**
- Minimum 2 years’ experience in managing a scheduling database within a health care environment.
- Working within a high paced work environment.
- Providing scheduling training.
- Reading/working with union contracts as they relate to scheduling.
- General understanding of payroll and human resource processes
- Proficient in MS Office (Word, Excel, PowerPoint & Outlook), YARDI, & technology-based solutions.
- Commitment to person directed approaches.
- Demonstrates an awareness of accident and injury prevention; adheres to safe work practices and procedures.
