We’re looking for a warm, detail-oriented Client Services & Office Assistant to join our client services team. Working primarily at our Whitby or Ajax locations, you’ll be the first point of contact for clients and play a key role in keeping our clinic running smoothly and professionally.

This position involves varied shifts.

**Qualifications**:

- Post-secondary education in a related field
- Minimum 2 years administrative experience, ideally in mental health / medical practice
- Knowledge and competency in the use of practice management software (Jane.app preferred), Microsoft 365, video conferencing (Teams) and standard office equipment
- Knowledge in basic counselling skills and/or crisis intervention an asset

**Office Administration/Management**
- Be familiar with opening and closing procedures of all locations, and comfortable performing said procedures individually
- Provide general administrative support in communications including marketing, IT, research, and data/information gathering.
- Assist with agency events and special projects (including social events)
- Be familiar with office Health and Safety and follow all agency policy & procedures.
- Monitor office supplies and restock as required.
- Provide training to staff and interns in respect to office procedures and client services, as directed by the Manager, Client Services.

**Data Entry and File Management**
- Assist in the maintenance of client record filing system
- Input client and service activity information on the computerized case management system (Jane.app or OWL), confirming and cross-checking information where possible
- Assist with preparation of statistical reports by gathering relevant data
- Close client files on computerized case management system, and file hard copy in a secure manner

- Transportation - Reliable transportation required for occasional travel between locations
