Job Summary
MLT Aikins has an exciting opportunity for a Supervisor, Corporate Services, in our Winnipeg office. Reporting to the Manager of Corporate Services, you will lead a team of corporate services support staff to provide the seamless delivery of annual maintenance services and support within our Winnipeg office.
Working closely with team members in Winnipeg and across the firm, you will provide a great client experience through the coordination or direction of annual maintenance services for our domestic and extra-provincial clients. This position will oversee all aspects of the department including managing and supervising team members, workflow coordination, preparation of corporate documents and database maintenance. This is a key position in our Corporate Services department and we require someone who enjoys the challenge of leading and supporting change while maintaining a positive work environment.
**Responsibilities include**:
Managing and supervising team members, including overseeing workflow and work allocation across the team.
Evaluating processes and proactively leading the development of new processes with a view to creating efficiencies and improving service delivery.
Acting as the primary contact person for corporate services, including providing external and internal communications from the Corporate Services department.
Maintaining service excellence through leading by example, coaching and positivity.
Leading the recruitment, onboarding, training, performance management and ongoing development for team members.
Communicating and training the team on any changes to process, procedures, or documentation. Executing these responsibilities will include one-on-one meetings with staff, team meetings and team building activities.
Preparing corporate documents, corporate database maintenance and filing documents with Corporate Registries.
Assisting with and overseeing monthly invoicing, reminder statements, maintenance of physical and virtual minute books and other administrative processes.
Responding to daily internal and external inquiries and handling of day-to-day corporate matters.
Other duties as assigned.
**Qualifications include**:
Graduate of a recognized certificate or diploma program.
Minimum of five years of experience, preferably in a law firm environment, in a leadership role.
Equivalent combination of education and experience may be considered.
A passion for customer service, an aptitude for solving problems, strong leadership skills, the ability to build strong relationships and a curious, proactive and innovative mindset.
Ability to foster a collaborative and positive work environment.
Excellent verbal and written communication skills, along with a high level of professionalism and the ability to develop relationships at all levels internally and externally.
Advanced organizational skills and attention to detail.
Demonstrated initiative and sound judgement with ability to assess situations and recommend solutions.
Ability to multi-task, prioritize workload in a fast-paced environment and meet deadlines.
Flexibility to work outside regular working hours on occasion.
Strong technical skills including knowledge and experience of software: Microsoft Word, Excel and Outlook, Emergent (corporate database), Aderant (accounting program) and Adobe Acrobat.
The ability to lift over 10lbs as required is also a role requirement
