The Opportunity
Key Responsibilities
**Student Interaction & Curriculum**
- Work with the Student Career Advisor with one-on-one student and alumni advising in career-related needs on an as-needed basis;
- Maintain confidentiality of student information and records;
- Act as the primary contact person during team members' absence, following up on emergencies with appropriate in-house employees.
**Recruitment**
Assist the Student Career Advisor with EPP (Employment Preparation Program) and CPP (Community Connections Program) tasks. Including:
- Review of job descriptions and posting of job positions;
- Shortlist resumes;
- Facilitate interview scheduling;
- Co-host interview as a panel member for the Community Connections program;
- Facilitate scheduling of 1:1 check-in between the Student Career Advisor, Students, and Host Partners/Departments;
- Maintain and update program metrics and databases (spreadsheets) regularly.
**Administrative Support**
- Maintain and update the team’s databases and mailing lists using the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook;
- Update and maintain Career Services materials (PowerPoint presentations, handouts, etc.).
**Marketing and Communications**
- Update the Career Services website with current events, job postings, and other relevant information;
- Develop and implement marketing strategies to promote Career Services events and programs;
- Design and distribute promotional posters, flyers, and digital content.
**Event Coordination**
- Assist with the planning, coordination, and execution of Career Services events, such as job fairs, employer information sessions, and workshops. Including:
- Reaching out to potential employers for participation;
- Creating and sending information packages to employers for the fair;
- Supporting volunteer recruitment efforts.
- Support logistics for on-campus events and career fairs, including setup, coordination, and teardown.
**Volunteer Coordination**
- Review of job descriptions and posting of volunteer opportunities within the College.
**Leadership
- Support overseeing the Career Services Student Assistant as required.
**Ad-Hoc Projects**
- Undertake additional projects and tasks as assigned by the Career Services team.
- Bachelor’s Degree in Human Resources, Psychology, Business Administration or another relevant field.
- One to two years of relevant experience in a similar role, with a focus on administrative tasks.
- Intermediate understanding of Microsoft Office (365), including Word, Excel, Outlook, and OneDrive.
- Previous administrative or office support experience, preferably in an educational or non-profit setting.
- Familiarity with recruitment processes and student support services is an asset.
- Knowledge of Career Development theories and practices preferred.
- Fluent communication skills in English, both spoken and written.
- Planning and time management skills; event management abilities.
- A determination to develop professionally and keep up to date with changes in higher education.
- Excellent oral and written communication skills.
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively in a team environment.
**WORKING CONDITIONS AND SCHEDULE**:
- In-person presence is required twice a week for student support and event coordination;
- Remote work once a week.
Compensation
In addition to working with an inclusive, progressive group of people, we offer a competitive compensation package which includes:
- $29.08 - 35.16 as the starting hourly gross salary range, based on qualifications, and relevant experience
- All Columbia College employees are covered by the Columbia College Employment Agreement, including a robust health and dental benefits package, a generous RRSP plan, and vacation.
