Reporting to the Director, Campus Planning & Projects (CP&P), the Coordinator, Campus Planning & Projects is responsible for a range of activities and processes related to space planning, construction and renovation projects and provides support to the CP&P team. This involves work on campus wide initiatives, as well as specific unit needs.
**Summary of Responsibilities**:

- Liaise with OCAD University (OCAD U) stakeholder groups to develop accurate Project Terms of Reference including detailed description of the project scope, schedule, budget, engagement and communication strategy
- Develop concept layouts and design for minor renovations and upgrades within existing spaces
- Coordinate input from OCAD U stakeholders for data sheets and detailed design by consultants
- Develop presentation material for projects of varying sizes in a clear, thoughtful, and graphic manner that is suitable for review at an art and design institution
- Engage external consultants and contractors as necessary to develop detailed drawings, contract documents, estimates and bids that align with OCAD U standards re: renovations, IT, Facilities in general and Facilities Accessibility Design Standards (FADS)
- Develop budgets and schedules for projects under $100,000; assist in scheduling and budgeting work for projects over $100,000
- In collaboration with the Finance department, tender or otherwise obtain competitive pricing for all construction work in accordance with the OCAD U procurement policy
- Carry out contract administration in the owner role, including advising contractors on coordination with stakeholders and activities in adjacent spaces on campus, while coordinating with units such as Facilities & Studio Services, Safety, Security & Campus Operations, IT Services and Marketing & Communications to implement the project and minimize / avoid interference and disruption
- Liaise between consultants, contractors and the University in general to ensure stakeholder satisfaction throughout all phases of a project
- Verify completion of all work and deficiencies to the satisfaction of OCAD U stakeholders
- Receive and maintain all closeout documentation including change orders, design revisions, as-built and final record drawings, commissioning, warranty, operating and maintenance manuals, and prepare files for archiving
- Merge information from recent projects into existing file structure; maintain project records and warranties for the period stipulated in the contract and take appropriate action to correct failure occurring within warranty period
- Review consultant drawings to ensure requirements and objectives of OCAD U stakeholder groups are being achieved
- General Unit Work_
- Work collaboratively with the Director and Manager, Campus Planning & Projects and other team members to enable the successful operation of the unit as a whole, developing and maintaining shared documents, templates and file structure
- Liaise with other units to refine processes related to project implementation and integration with other units works
- Track data at the University to enable effective space planning and reporting (i.e. current and projected enrolment numbers, space allocations, etc.)
- Maintain the records and upkeep of drawings and files regarding the University’s physical campus as a whole and individual buildings
- Draft reports regarding space use and allocations required for the Council of Ontario Universities every three (3) years
- Liaise with Marketing & Communications and consultants to produce and implement printed and online media regarding ongoing and upcoming projects to ensure that stakeholders have the information that they need regarding Campus Planning & Projects current work
- Participate and support initiatives regarding sustainability and other OCAD U values such as accessibility, inclusivity, diversity and equity
- Work with consultants and City representatives to provide information as required regarding existing buildings as it relates to planning for future projects and partnership incentives
- Work closely and collaboratively with other units including but not limited to Finance, Facilities & Studio Services and Safety, Security & Campus Operations
- Build and maintain positive working relations with internal stakeholders, as well as external consultants, contractors, community neighbours, and Government officials
- Respond to issues in a manner that is clear, thorough, respectful and time sensitive
- Work closely with the Director and Manager of the unit, and various other staff to keep the facility operating in a safe, efficient, and comfortable manner for the benefit of all occupants, including students, faculty, staff, volunteers and visitors
