We are seeking a detail-oriented and motivated **Appointment Coordinator/Dispatcher** to join our team. This role is critical in ensuring the seamless coordination of service appointments and dispatching of technicians to maintain and enhance our clients' gate automation and access control systems.
**Key Responsibilities**
- **Scheduling & Dispatch**:
- Coordinate and dispatch technicians for gate automation and access control system installations, repairs, and maintenance.
- Efficiently plan and optimize technician schedules to reduce travel time, improve productivity, and maximize resource utilization.
- Prioritize tasks and services based on urgency, client needs, and resource availability.
- **Schedule Management**:
- Monitor and adjust technician schedules to accommodate emergencies, cancellations, or changing priorities, ensuring client systems remain operational.
- **Customer Communication**:
- Confirm service appointments, provide updates, and address scheduling conflicts for gate automation and access control services.
- Respond promptly to client inquiries, ensuring professional and effective resolution of concerns.
- **Administrative Support**:
- Accurately invoice completed work orders, ensuring all gate automation and access control parts and services are accounted for.
- Maintain detailed records of service calls, technician assignments, and customer interactions.
- Prepare and distribute operational reports related to field service activities.
- **Operational Efficiency**:
- Collaborate with team members to optimize technician routes and ensure the efficient allocation of resources.
- Use dispatching software, GPS tools, and communication platforms to manage daily operations effectively.
- **General Office Tasks**:
- Perform routine administrative duties and other tasks related to the smooth operation of gate automation and access control services.

- **Schedule Coordination**:
- Proven ability to efficiently plan and coordinate technician schedules to meet client needs and operational goals.
- **Communication**:
- Excellent verbal and written communication skills to interact with clients, technicians, and team members.
- Proficiency in English (spoken and written).
- **Technical Proficiency**:
- Familiarity with Google Workspace (Drive, Sheets, Docs, Gmail) and other relevant tools.
- Experience using dispatching software or similar systems.
- Must have strong computer skills
- **Adaptability & Problem-Solving**:
- Ability to handle unexpected situations and make quick, thoughtful decisions.
- A proactive approach to learning and retaining new skills.
- Must be able to take initiative in your own performance in the position
- **Familiarity with the Region**:
- Knowledge of Calgary and surrounding areas is a strong asset.
**Experience & Qualifications**
- Minimum 2 years of experience in dispatching or a related role.
- High school diploma required; additional education or certifications are an asset.

**Important Dates**:
- Interviews will be held the week of **March 3-7, 2025**. If required, we will hold interviews on the following week as well.
- The position is expected to start in the **March 2025**.
Pay: $45,000.00-$55,000.00 per year
