ITALPASTA LIMITED is looking for a Front desk administrator to join the team in Brampton. It is a part time(9.30am-2.30pm) permanent position.
**Front Desk Administrator job responsibilities**:
- Greeting guest courteously.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Answers questions about organization and provides callers with address, directions, and other information.
- Retrieves messages from voice mail and forwards to appropriate personnel.
- Receive and sort morning mail, opening and stamping invoices.
- Sorting invoices for outgoing mail, inserting into envelopes and stamp mail with postage meter.
- Sorts, packages and sends couriers, prepares customs papers for US/International. Arranges for courier pick-ups and drop offs.
- Monitors visitor access and issues passes when required, maintains
- Sign in log, ensures visitors and contractors read and sign policy.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Administrative assistance for Human Resources Manager as needed, including typing letters, inserting binder updates, updating telephone extension list, updating SDS and ordering supplies.
- Customer Service/ Consumer Inquiries; Manages difficult or emotional customer situations. Responds promptly to customer needs, solicits customer feedback to improve service, responds to requests for service and assistance and meets commitments. Generates consumer care letters and reimburse customer complaints with coupons. Inputs all Consumer & Customer Complaints into the database. Locates information for customers looking for products.
- Sends out bi-weekly courier packages and statements to sales representatives and brokers.
- Receives and distributes account statements.
- Brokers Cheques - sends out cheques by courier.
- Orders courier supplies.
- Safety shoes - issues safety shoe vouchers for eligible employees, updates the eligibility spreadsheet and once invoice in received, prepares Cheque Requisitions or Deduction Memos for Accounting Department.
- Postage meter - maintains postage meter, applies appropriate postage and refills account balance.
- Orders general office supplies, ensures office supplies cabinets is properly stocked.
- Joint Health and Safety Committee secretary - preparing and typing minutes of meetings, inspections, and correspondence.
- Other duties as assigned
**Front Desk Administrator Job requirements**:
- Excellent communication skills.
- Minimum 2 years of experience working in a similar position
- Needs to have positive attitude and excellent organizing skill
- Proficient in MS Office
