Employee Engagement Coordinator

Framestore is an Oscar, Bafta, and Emmy award-winning global creative company working in film, advertising, AR/MR/VR, theme park dark rides, and pre/post visualisation work among many other creative endeavours.
Framestore is looking for a full-time Employee Engagement & Event Coordinator to join the Facilities team that is like-minded in providing a positive and engaging studio culture with excellent support and service to the employees and clients in Montreal. The Employee Engagement & Event Coordinator will work closely with the HR, Training, Marketing, and Facilities teams to plan and execute regular activities and special internal events for Framestore Montreal employees. This role reports directly to the Office Manager.
**What you’ll do**:
- Manage and maintain an employee events calendar, including in-studio and external activities
- Collaborate with other departments to ensure that various events are aligned
- Coordinate a process for ad hoc event requests:
- Department activities and outings
- Show wrap parties and screenings
- Merchandise requests & inventory management
- Project-specific merchandise design contests
- Plan and execute in-studio events and activities for studio staff:
- Work with the Office Manager to manage a specified budget for each event
- Draft a Banquet Event Order (BEO) for requesters, including all event or activity details
- Complete the BEO post-event, including inventory count and calculate the total costs of the event
- Support the Office Manager in the research, strategy, and development of event budgets to be presented to Senior Management
- Prepare, set-up, host, and pack up indoor and outdoor events, such as, beer Fridays, seasonal parties, Work-in-Progress screenings, and themed activities
- Work with the facilities team to manage inventory and place orders for events
- Ensure that the event storage space is organised and maintained
- Ensure that all event-related equipment such as kegerators and popcorn machines are cleaned and maintained
- Support the Office Manager in planning regular in-studio activities with external vendors, such as, yoga classes, meditation sessions, and massage therapy
- Follow a production schedule to organise show wrap parties and merchandise orders
- Draft and design studio-wide internal communications to employees in both French and English following an approved set of marketing templates:
- Event invites
- Surveys
- Signage
- Event reminders

- Shows initiative and creativity with social events and studio culture planning
- Excellent organisational skills
- Detail-oriented
- Available to work unconventional hours from time to time in order to assist with staff activities
- Enjoys socialising and working with a team
- Ability to perform under pressure and deadlines
- Great multitasker. Ability to prioritise and deliver multiple projects and stick to deadlines
- Bilingualism with excellent writing skills in both French and English
- Proficient computer skills in Windows, G Suite, and MS Office
**You might also have:
- Previous experience in the restaurant or hospitality industry
- Knowledge and contacts with local hospitality vendors
- Experience in vendor negotiations and budgeting
- Understanding of the market value for event services, such as catering, rentals, and other entertainment products
- Experience in internal communications
- Experience in photography, video editing, and marketing
