Headquartered in North York, the Ontario Society of Professional Engineers (OSPE) is a not-for-profit professional association, providing advocacy and member services that advance the economic and professional interests of Ontario's engineers. We are a stable and secure organization with a small close-knit team that works together to make sure the association runs smoothly. This position is currently a hybrid position where you will attend the office 2 or 3 days a week. This position will not be fully remote.

The Events Specialist will be responsible for event management, communications, and promotion. They will interact effectively with volunteers, vendors, and outside stakeholders. Professional maturity, flexibility, sound judgment, initiative, and a willingness to undertake unfamiliar tasks from time to time are required. Reporting to the VP, Member Experience and Corporate Strategy, this position works closely with all OSPE staff.

**Responsibilities**:

- Lead & manage the strategic planning, development, and execution of all events, proactively managing all event needs from registration, branding, agenda design, content creation, audio visual, catering, show services, décor, venue selection and other event subcontractors.
- Develops departmental operations plan to ensure achievement of departmental objectives and contribution to OSPE objectives. Develops resource plans (people, financials, systems) to support the operations plan. Executes approved operations plans and tracks performance against plan, against budget, and against agreed performance measures. Adjusts the plan (including HR and financial needs) to reflect experience and performance, attempting to optimize performance with the resources that are available.
- Working with the VP, Member Experience and Corporate Strategy to develop events budgets. Manage and track budget costs throughout the course of project and communicate scope changes that affect budget in a clear manner.
- Partner with internal cross-functional teams to create event agendas and content that meets engagement objectives.
- Working with speakers, and events partners to manage all requirements before, during and after events.
- Setting up and maintaining registration systems
- Maintain all administrative databases, records, mailing lists, resource materials, create marketing activities, publicity, and promotion for events.
- Complete special projects and tasks as required.

**Qualifications**:

- a post-secondary degree or diploma, or equivalent experience in marketing, project coordinating and event planning.
- able to communicate professionally and easily, in writing and orally, with a variety of stakeholders.
- self-directed individual, strong organizational skills, and the ability to manage multiple ongoing initiatives.
- experience in organizing detailed and diverse administrative tasks in an office environment.
- experience as a grassroots organizer and managing events and volunteers.
- demonstrated skills in building and maintaining effective relationships and prospecting.
- strong presentation skills
- computer literate, able to use MSOffice Suite programs to manage and produce work.
- the ability to work independently and in a team environment.
- flexibility to work occasional irregular hours.
