About the Role
Based out of our Licensed Production (LP) facility in Brampton, Ontario, MJardin is looking to hire an on-site Office Manager who will be responsible for providing a superior level of customer service and exceptional confidential executive support to senior management and cross-functional departments: Human Resources, Operations, Finance, and Legal.
Additionally, this role will support vendor management including agreement negotiation, drive office operational efficiencies, and coordinate all office services for all departments.
**Responsibilities**:
- Greet visitors at the office and provide support while they are on site (fob/key access, visitor logs, temperature check, etc.)
- Management of day-to-day office operations, report and coordinate facilities maintenance, and general office management
- Includes but not limited to ordering of offices supplies and equipment
- Implement and refine office processes and operating/experience standards as needed
- Research ways to optimize MJardin’s office space, create functional, accessible, comfortable, and fun spaces
- Prepare a standard for meeting room etiquette from online booking, hosting equipment and technology options
- Organize and plan meetings and events for departments
- Support MJardin’s Human Resource department in scheduling meetings, interviews, onboarding new hires and other administrative tasks as needed
- Prepare letters, presentation decks, and run/pull reports using MJardin’s internal systems
- Coordinate with the IT department on all office equipment for new hires, exiting staff, and visitors/contractors alike; other ad hoc projects as they arise
- Assist MJardin’s Finance department by creating, distributing, and approving invoices, purchase orders, and vendor agreements and set ups
- Address employee queries regarding office management issues (e.g., stationery, hardware, and travel arrangements)
- Select and manage relationships with vendors and service providers (e.g. Sanitation) for office environment equipment and services
- Other duties as required.
**Qualifications**:
- 4-5 years of direct experience as an Office Manager, Front Office Manager, Executive Assistant, or Administrative Assistant
- High level of integrity, hyper-organized, and resourceful in problem-solving
- Known as a team player, work well within a collaborative environment
- Proficient in Excel, Word, PowerPoint, Outlook
- Excellent verbal and written communication skills
- Assertive, professional, and positive with a proven ability to develop and lead in a team environment
- Ability and willingness to work evenings, weekends, and holidays as required
- Ability to lift 30 to 40 pounds
Expected Hours of Work
This is a full-time position that requires but is not limited to 40 hours/week. Operational hours are dependent on the client and facility operations. This position may be required to work weekends and holidays. The successful incumbent must have reliable access to transportation to and from the facility.
Working conditions
The Office Manager may be exposed to cannabis plant smell, pollen, allergens, and chemical pesticides at the facility.
