The Administrative Assistant is responsible for handling the day-to-day administrative functions while providing a positive, professional company image with all internal and external contacts, maintaining confidentiality, discretion, tact, diplomacy and flexibility in their daily work routine.

RESPONSIBILITIES:

- Handling day-to-day administrative functions.
- Complete intake assessments for new clients.
- A lead follow-up.
- Invoice customers and follow up on scheduled payments.
- Prioritize management requests and have them done in a timely manner
- Sourcing construction materials as per management request
- Coordinate travel arrangements for Management; including flights, hotel & car reservations & prepare an itinerary for the Executive.
- Schedule /coordinate all appointments and meetings.
- Prepare presentation materials, or statistical reports and distribute them as required
- Attend meetings and take minutes as appropriate.
- Conduct research and compile data as required
- Develop & maintain a well-organized filing system that permits easy reference and rapid retrieval of information
- Continually expand and update professional knowledge
- Review, evaluate and implement new administrative procedures,
- Complete other duties as assigned.
- Uphold and promote the organization's values and philosophy relating particularly to ethics, morality, and integrity.

QUALIFICATIONS:

- Previous experience in an office administration role for the construction business is a must.
- Completion of Business/Office Admin courses
- Understand construction terminology
- Must be proactive, self-disciplined and able to demonstrate a high level of productivity
- Highly organized and detail-oriented; able to multitask, work under pressure
- Excellence in communication skills, written & verbal
- Ability to effectively prioritize work and workflow
- Reliability, Flexibility, Organized,
- Effective interpersonal skills
- Must always present a professional and polished image.

**Salary**: $18.00- $25.00 per hour

Schedule:
8-hour shift

Day shift

Monday to Friday

Reliable transportation required:
Niagara falls, ON: reliably commute or plan to relocate before starting work (preferred)

**Education**:
Completion of Business/Office Admin courses

**Experience**:

- Administrative assistant: 3 years (preferred)
- receptionist: 3 years (preferred)

**Salary**: $18.00-$25.00 per hour

Flexible Language Requirement:

- French not required
