Job Summary The Department of Chemistry is a large teaching and research department with over 60 faculty members, hundreds of graduate students, research associates and support staff. The department also runs 10 service areas including a large Stores operation with a Bio Bar. Chemistry Stores serves customers from all across the university. Within Chemistry Stores, this position will be responsible for the day-to-day customer service and running of the Bio Bar. Greets and serves customers, handles customer requests and orders for Bio Bar products, receives and stocks orders, prepares and records sales receipts, performs data entry. Provides occasional backup for other Chemistry Stores personnel during absences and peak periods. Organizational Status This position reports to the Stores Manager and works closely with the Buyer and other Storepersons. Serves as the main resource person for Bio Bar related questions from customers. Work Performed Customer Support/Order Desk: - Handles routine order status questions from customers. May include contacting suppliers for information, checking status of PO in Workday and/or consulting with the Stores Receiver. - Places online orders through supplier websites, files order confirmations, notes any delivery delays or issues. - Provides timely updates to the Buyer on orders placed and related issues. - Contacts suppliers for status updates on orders and missing invoices. - May assist Stores Manager with reconciliation of credit card charges on expense reports. Bio Bar: - Serves as the first point of contact for Bio Bar related customer service and its associated functions. - Manages incoming orders for the Bio Bar, collects stock and special-order items to fill orders. Records sales receipts when handing out orders. - Receives deliveries, unpacks stock, stores items under correct temperature conditions and restocks shelves. Special order items are labelled and matched to customer orders for pick up. - Maintains inventory and assists with physical inventory counts. - Rotates inventory to ensure "first-in, first-out" and mínimal product expirations. Processes any expired product for disposal. Other general Stores duties: - Dispenses various chemicals, which involve familiarity with hazards and wearing of personal protection equipment. - Provides assistance and back-up relief for other Stores position(s) as required. - May provide orientation, instruction and/or train other stores staff and student term workers. - Recommends and implements projects or system changes to improve Stores operation. - Carries out any other related duties as necessary in keeping with the requirements and qualifications of the job. Working Conditions The incumbent will work within Chemistry Stores and other areas of Chemistry complex. Some areas may require personal protective equipment (PPE) to be worn for certain tasks and PPE will be provided by the department. Workers must exercise caution in the daily execution of their tasks. May be required to deliver or return goods from other departments within the walking core. Incumbent must successfully complete the Chemical Safety and Fire Extinguisher training courses offered by UBC as well as all required Transportation of Dangerous Goods (TDG) and International Air Transport Association (IATA) Dangerous Goods Regulations certifications. Consequence of Error/Judgement Failure to store inventory promptly and under proper conditions could make items unusable and lead to financial losses and delays. Inventory errors causing shortages in supplies could result in canceling and rescheduling of teaching labs or delays in research projects, resulting in financial loss. Errors in Stores related duties could result in hazardous incidents or situations affecting staff and customers (e.g. dispensing of chemicals into wrong containers). Supervision Received Supervised by the Stores Manager but will need to work closely with the Buyer and other Storepersons.
