**We have an immediate opening for a full-time, permanent, **RESIDENT & PROPERTY SERVICES ADMINISTRATOR**

**Position Summary**:
The Resident and Property Services Administrator position is responsible for providing administrative and other support services to the Resident and Property Services Department as well as customer service at Clients’ site offices when necessary.

**Salary Range**:$50,000 - $56,429

**What will you be doing?**
- Provide coverage for Property Manager at Hamilton and Dundas sites (i.e. but not exclusively during vacation and sick leaves).
- Respond to telephone enquiries and resident concerns and escalate to Property Manager or Resident and Property Services Manager where necessary in accordance with Victoria Park Customer Service Standards
- Provide administrative and clerical support to Property Manager and Manager of Resident and Property Services (as applicable), including but not limited to scheduling assistance, file maintenance, data entry, preparing and serving notices to residents, and other tasks as assigned.
- Schedule, coordinate, and prepare for monthly Client Board of Directors Meetings.
- Assist with rent collection and processing deposits.
- Assist with unit turnover and unit inspection processes.
- Assist with Rent-Geared-to Income (RGI) income verification process and RGI rent calculations.
- Prepare, update and monitor various reports and distribute them when necessary.
- Follow up on Rent Collection, Reports on appropriate due dates.
- Draft vacate letters for signature and notify Utilities of move-outs within required timeframe.
- Prepare form letters to Residents for delinquent Utility invoices.
- Draft letters as instructed by Property Manager in response to Resident complaints, permission requests, and/or confirmations.
- Correspond and coordinate scheduling of trades, including facilitating entry to units.
- Maintain Maintenance Request Form Tracker.
- Maintain Resident database by inputting Resident insurance.
- Assist with drafting N4 forms.
- Ensure NSF notices are sent weekly to residents.
- Prepare rental leases when required.
- Enter vendor payables for payment.
- Maintain Client’s internal and external waitlists.

**What will you need?**
- Be cheerful and personable
- Able to handle more than one task at the same time
- Possess excellent organizational skills.
- Skills in transcription report and specification writing and typing are a benefit.
- Be proficient in knowledge and use of Microsoft Office (Word, Excel, PowerPoint, and Outlook) and Yardi voyager.
- Possess excellent ability to communicate effectively both written and orally
- Adept in all aspects of standard office procedures.
- Able to maintain confidentiality, exercise good judgment and discretion when dealing with confidential information and/or responding to inquiries.
- Possess a grade 12 education, AND
- Have successfully completed Community College in Business or Office Administration OR
- Have a minimum of 3-5 years of experience in a related field.
- Knowledge of the Housing Services Act, the Residential Tenancies Act, and other relevant legislation and the affordable housing industry is a strong asset.

**Special Requirements and Working Conditions**
- Be bondable and be prepared to execute a Bondability Affidavit.
- Regular hours of work are 8:30 a.m. to 4:30 p.m., Monday to Friday with occasional work required outside of regular office hours. (Working from home one day a week) Place of work is smoke free.
