**Purpose**:
To ensure the smooth, efficient, and culturally safe day-to-day operations of KNCLN by overseeing facilities, administration, health and safety, and internal systems—supporting staff and leadership to deliver impactful programs to community.

**Key Responsibilities**:
**Organizational Operations**
- Manage and maintain KNCLN’s operational infrastructure, including office systems, supplies, IT, and vendor relationships.
- Ensure organizational compliance with health and safety, privacy, and workplace regulations.
- Coordinate use and scheduling of shared spaces, vehicles, and technology.
- Support the setup and coordination of events and programming logistics.

**Health & Safety / Risk Management**
- Act as KNCLN’s Health & Safety lead, maintaining compliance with Occupational Health & Safety Act (OHSA), AODA, and applicable public health standards.
- Develop, implement, and maintain safety protocols and emergency procedures.
- Conduct regular safety checks and risk assessments across facilities and activities.
- Complete and submit Serious Occurrence Reports when applicable.

**Human Resources Administration**
- Support staff onboarding, offboarding, and general HR processes in collaboration with the Executive Director.
- Track certifications, training schedules, and employee documentation (e.g., First Aid, VSCs).
- Maintain internal HR records, policies, and compliance documentation.
- Liaise with third-party HR/payroll services (e.g., BrightHR, QuickBooks Payroll).

**Finance & Procurement Support**
- Manage purchasing processes and track office and program-related expenses.
- Ensure documentation is prepared for reimbursements, vendor payments, and audit.
- Work closely with Executive Director and bookkeeper to support financial systems.

**Technology & Records**
- Oversee the secure and organized management of physical and digital records.
- Troubleshoot basic IT issues and coordinate with external IT support as needed.
- Maintain inventory lists and equipment check-out systems.

- Respectful of Indigenous protocols, culturally aware, and trauma-informed.
- Discreet and trustworthy with confidential information.

**Qualifications**
- Post-secondary education in Business, Nonprofit Management, HR, or related field; or equivalent combination of experience and community knowledge.
- Minimum 2-3 years’ experience in administration, operations, or coordination roles.
- Understanding of OHSA, privacy legislation, and HR basics in an Ontario context.
- Valid Vulnerable Sector Check and access to reliable transportation.
- First Aid/CPR and health and safety certifications are strong assets.

**Work Expectations**
- **Hours**: 40 hours/week, primarily weekdays with some flexibility for events.
- **Environment**: Based at KNCLN; may include occasional travel or physical setup.
- **Physical**: Capable of light lifting, setup/tear-down for events, and active participation.
- **Emotional**: Able to support a calm, grounded environment amidst shifting needs.
- **Health & Safety**: Must follow all KNCLN safety procedures and wellness protocols.

**Reports to**:
Executive Director (or designate)

**Collaborates with**:

- Executive Director, Program Manager, and all front-line staff
- Community members, Elders, volunteers, and contractors
- Bookkeeper and HR/payroll providers

Pay: $32.00-$36.00 per hour

Expected hours: 37.5 per week
