**Bilingual (English/French) Travel Counsellor & Distribution Administrator -Visitor Information Centre (The Forks**
**Location)**

The Bilingual Travel Counsellor & Distribution Administrator is responsible for the dissemination of all brochures and promotional material for the organization’s internal stakeholders (Visitor Information Centres) and external stakeholders
(clients, partners and other government departments). The position manages and coordinates all mailings including (but not limited to) Travel Kits and Master Angler / Master Hunter certificates as well as the preparation of orders and all shipping and receiving functions at the warehouse and The Forks headquarters location. The position is responsible for the seasonal rotation of brochures as well as maintaining appropriate inventory levels and accurate inventory counts in Simpleview.

This position also functions as a Travel Counsellor at the Visitor Information Centre located at The Forks.

**Position Duties and Responsibilities**

Distribution Duties/Responsibilities:

- Manages the distribution related operation and administration of the warehouse, mail room and visitor centre: o Tracks and records physical inventory and maintains accurate inventory records in Simpleview o Maintains adequate inventory levels and requests restock of brochures from new and existing partners o Assembles and mails travel kits and master angler/hunter certificates to external stakeholders o Ships and receives International and domestic tourism literature/promotional materials/tradeshow supplies o Ensures proper operation and maintenance of corporate vehicles, mechanical equipment (forklift, pallet jack and postage equipment) to meet insurance and safety standards o Communicates corporate policies regarding literature distribution o Monitors necessary renewals and upgrades of equipment and business processes to realize operational efficiencies and cost savings
- Reviews all warehouse/distribution related invoices for accuracy and submission for approval.
- Completes maintenance and service requests for corporate vehicles and equipment including the van, forklift, pallet jack and postage equipment.
Travel Counsellor Duties/Responsibilities:

- Provides travel counselling and trip planning assistance (face to face, by phone and on-line) to locals and visitors, with an aim to promote Manitoba as a must visit destination and increase frequency and duration of stay.
- Tracks, maintains and updates the inventory of promotional items, displays & brochures through CRM database.
- Organizes, maintains and replenishes promotional items/materials in the visitor centre and ensures neat and organized appearance of such items/materials.
- Researches, solicits and gathers information related to Manitoba events and inputs same into online events calendar and ensures calendar is always up to date.
- Reviews and approves Partners’ events submissions.
- Verifies and updates tourism Partners/Clients website listings, accounts/contacts and ensures databases are updated regularly.
- Assists with the data entry and administration of the Master Angler and Master Hunter programs.
- Assists with clerical and administrative services as required.
- Provides assistance in the training and instruction of new Travel Counsellors.
- Participates in Travel Manitoba projects as appropriate/required.
- Performs other related duties as assigned/required.

**Requirements**:

- Grade 12 or GED equivalency or an equivalent combination of education/training and experience
- Strong interpersonal and customer service skills
- Ability to work independently and unsupervised
- Strong time management and organization skills
- Strong administrative/clerical skills
- Excellent communication (verbal and written) skills
- MS Office Suite
- Accuracy and attention to detail
- Ability to multi-task
- Ability to plan, prioritize and meet deadlines
- Must be available to work some statutory holidays and weekends
- Must be bilingual (French/English)
- Must have the ability to lift/carry up to 25 lbs
- Current valid Manitoba driver’s license
