Payroll Specialist, North America

Job Summary:
The Payroll Specialist is responsible for the preparation and administration of all activities relating to the US bi-weekly payroll functions. Integrity and strong attention to detail are crucial for this role. This role will also assist with the Canadian Payroll as required.

Primary Responsibilities:

- Preparation and administration of the US payroll for all company employees, while auditing payroll processing reports for accuracy
- Preparation of payroll journal entries, accrual calculations and related schedules
- Ensure that all employees are paid accurately and in a timely fashion while complying with all State laws and requirements
- Research and set up registration of payroll accounts in new states or jurisdictions
- Prepare payroll related forms, such as records of employment, income tax forms, and any applicable remittances
- Assist in the administration of employee programs (e.g. health benefits, stock option plans, 401k, etc).
- Accept and process pre-authorized staff expense forms; distribute reimbursement checks as necessary
- Issue ad hoc, monthly, quarterly, and annual reports
- Take and handle all inquiries arising from questions about payroll
- Implement salary increases, bonuses, commissions, and so on in accordance with instructions given
- Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements
- Collaborate with the HR department and other departments to ensure pay and personnel records are accurate and up to date
- Assist with Canadian and/or international payroll as required
- Other payroll and /or financial duties as assigned

Job Qualifications:

- Degree or Diploma in Accounting or equivalent field of education
- Minimum 2 years of work experience in payroll functions - Multi-State
- Certified Payroll Professional (CPP) by American Payroll Association would be an asset
- Strong computer skills in Microsoft Outlook, Word, and Excel
- Knowledge of ADP software and BambooHR would be an asset

Core Competencies:

- Knowledge of audits, income tax forms, health benefits programs, sick pay, retirement plans, etc.
- Ability to prepare ad hoc reports using Microsoft Excel
- Must be able to handle confidential and sensitive information in an ethical and professional manner
- Strong work ethic and positive team attitude
- Ability to respond appropriately in pressure situations with a calm and steady demeanor
- Strong problem identification and problem resolution skills
- Sound analytical thinking, planning, prioritization, and execution skills
- Able to effectively communicate both verbally and in writing
- Strong customer service focus, with a high-level of dependability, strong sense of urgency and results-orientated
- Proactive self-starter with an 'owner's mindset'; requires mínimal direct supervision
- Consistently delivers quality work on time, with a strong attention to detail
- High degree of time management
- Strong oral communication, with a customer focus attitude
- Excellent interpersonal skills and ability to work well with others (cross-department)
- Strong attention to detail and accuracy in maintaining financial records and following company guidelines and procedures
- Adaptable to change in a fast-paced environment while being able to meet deadlines consistently
