Job Summary

The Physics and Astronomy Course Coordinator assists faculty, staff, and students in the administration and delivery of courses and also provides leadership in the development and maintenance of course-level and department-level processes for undergraduate physics and astronomy course administration.

Organizational Status
Reports to the Associate Head Academic in the Department of Physics and Astronomy. Works collaboratively with faculty, staff and senior teaching assistants in the Department of Physics and Astronomy.

Work Performed

Acts in an academic advising role to students, including addressing academic policy issues, assisting with registration management, coordinating accommodations with the Centre for Accessibility, coordinating with academic advising offices to coordinate withdrawals and deferred exams, and responding to course-specific questions from students.

Supports the setup, implementation and maintenance of online course platforms, such as Canvas, Piazza, online homework, and grading software. This includes supporting the implementation of quizzes and other assessments. Books rooms for midterms and facilitates student accommodations for quizzes, exams and other assessments. Arranges printing of exam materials, as well as scanning and uploading of completed exam materials. Collates, calculates and posts grades.

Serves as a departmental resource related to the learning technologies available to support teaching and course delivery. This includes keeping current on existing and new learning technologies, taking primary responsibility on assessing their feasibility, making related recommendations to faculty members, troubleshooting these technologies, and leading in their deployments by coordinating with technical staff on requirements and timelines.

Works with the teaching team to identify, investigate and report potential cases of academic misconduct. Coordinates and executes the administrative process related to academic misconduct, including scheduling and taking notes at misconduct meetings.

Participates in the documentation and assessment of course-level policies and assists in developing and redesigning procedural guidelines and policies to meet educational and departmental goals.

Manages the course waiting list; Assists students with registration in lecture, lab and tutorial sections; responds to grade queries from students; uploads grades; problem set, and clickers to the learning management system.

Performs other duties related to the qualifications and requirements of the job. Other special projects may be assigned by their supervisors.

Consequence of Error/Judgement
Errors in judgment may result in the inefficient use of resources, and may damage the image and reputation of the University and the Physics and Astronomy department.

Supervision Received
Works independently with general direction of the Undergraduate Chair in the Physics and Astronomy department and the Physics and Astronomy faculty members who are teaching the courses supported by this role.

Supervision Given
May provide functional supervision for undergraduate and graduate teaching assistants.

Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Experience with administration, content management and content creation in learning management and related software systems.

Prior experience working as a teaching assistant for undergraduate Physics and Astronomy courses at UBC is preferred.
