**Job Title: Admin/Document Controller**

**Job Type**: Full-Time

**Key Responsibilities**

  • Organize, manage, and maintain both physical and digital documentation, ensuring all files are stored appropriately and easily accessible.
  • Review and verify incoming and outgoing documents for accuracy, completeness, and compliance with company standards.
  • Control the distribution of documents to relevant departments and stakeholders, ensuring timely and secure delivery.
  • Ensure proper filing and archiving of documents according to company procedures, maintaining strict confidentiality and data security.
  • Assist in the preparation and formatting of reports, presentations, and other business documents.
  • Coordinate the revision and approval process for documents, ensuring updates are documented and version-controlled.
  • Respond to document-related queries and requests, providing support to internal teams or external clients as needed.
  • Monitor and track document workflows and deadlines to ensure timely execution.
  • Support administrative tasks, such as scheduling meetings, handling correspondence, and maintaining office supplies.
  • Assist with data entry and record-keeping tasks, ensuring the accuracy and completeness of information in the system.
  • Maintain and manage databases related to project or operational documents.

**Qualifications**

  • Proven experience as an administrative assistant, document controller, or in a similar role.
  • Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Attention to detail and accuracy in document management and data entry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software (such as SharePoint, Google Drive, or similar).
  • Knowledge of document control procedures and best practices.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
  • Strong understanding of confidentiality and information security principles.
  • Previous experience in a construction, engineering, or technical industry is a plus.
  • Must be able to obtain secret clearance

**Preferred Qualifications**

  • Experience with document control software and project management tools.
  • Knowledge of industry-specific document management standards or certifications.

Pay: From $65,000.00 per year
