**ROLE**
The Project Coordinator provides vital support to the Project Manager by managing documentation, facilitating communication, and assisting in the coordination of various project phases. The focus is on organizational and administrative tasks to ensure project alignment and smooth workflow.
**RESPONSIBILITIES**
1. Project Startup and Documentation
- Assemble and distribute Job Start and Site Start documentation, ensuring all required forms, procedures, and checklists are completed and submitted before mobilization.
- Maintain and track startup documentation to verify compliance with internal standards and client requirements.
- Set up folder templates and project files to maintain consistent documentation structure.
2. Procurement Coordination
- Prepare and distribute Purchase Orders (POs) and PO Modifications (PO-MODs) based on requests from the Project Manager.
- Track PO approvals and coordinate with accounting/finance teams for vendor setup and payment alignment.
3. Shop Drawings and Submittal Coordination
- Track the status of submittals and maintain a submittal log to support the Project Manager in meeting project deadlines.
- Follow up with suppliers and subcontractors for the submission of shop drawings and other required documentation.
4. Change Order Support
- Assist the Project Manager in processing potential change orders (PCOs) by collecting relevant documentation and maintaining organized records.
5. Safety and Training Coordination
- Maintain a safety tracking system to log training certifications, safety meetings, incident reports, and site orientations.
- Coordinate and track all training requirements for field staff, ensuring records are updated and current.
6. Electrical Safety Authority (ESA) Coordination
- Manage ESA notifications including preparation and submission of relevant forms.
- Schedule ESA inspections as directed by the Project Manager and field supervisors.
7. Project Closeout
- Assist in the compilation of closeout documentation, including as-builts, O&M manuals, warranty information, and commissioning records.
- Track closeout deliverables to ensure timely submission to the client.
- Assist in archiving project records and ensuring all contractual obligations are met.
8. Scheduling of Training & Commissioning
- Coordinate the scheduling of training and commissioning activities with relevant teams and clients.
- Ensure that all necessary parties are informed and that training/commissioning sessions are completed on schedule.
9. Meeting Documentation
- Attend office meetings and ensure the accurate taking of meeting minutes.
- Distribute minutes promptly and track action items to ensure follow-up and resolution.
10. General Administrative Support
- Provide general administrative assistance, including data entry, file management, and communication tracking as required.
**EDUCATION, EXPERIENCE and KNOWLEDGE**
- High school graduate and/or completion of a diploma training program at a college or technical school.
- Clear and professional written and verbal communication skills with above average organizational and time management abilities.
- Proficient computer skills using Microsoft Excel, Word and Outlook, as well as FTP sites/programs
- Intermediate level knowledge of construction contract language and forms
- Ability to read and interpret construction drawings and specifications
- Ability to thrive in a schedule-driven atmosphere with firm deadlines
- Must hold a valid G drivers’ licence with a clean driving record
- Previous experience in the Electrical construction industry is an asset
