**About us**
**Position Summary**
Perform day-to-day administrative support to Maintenance Manager to assist in the efficient operation of the division.
**Key Responsibilities**:
- Schedule and confirm appointments and meetings, inspections and repairs;
- Follow-up procedure to ensure quality control of repairs;
- Administration coordination including tenders, contracts, purchase orders, invoices, insurance claims;
- Prepare, key in, edit and proofread correspondence, invoices, presentations, reports and related material using computers;
- Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations;
- Answer telephone and electronic enquiries and relay telephone calls and messages;
- Set up and maintain manual and computerized information filing systems;
- Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person;
- May compile data, statistics and other information and may conduct research;
- Act as back up to Customer Service Representative;
- Ensure and enforce compliance to all company, client and legislated Safety policies and procedures;
- Any additional duties and responsibilities as may be assigned from time to time.

**Education and Experience**

- Strong mathematical ability.
**Working Conditions**
- Typical office hours: Monday to Friday -8:30 am - 5:00 pm;
- Light to infrequently moderate physical effort. Requires handling of light and moderate weight objects including office equipment and other office supplies and, frequently, sitting for prolonged periods of time while using the telephone and computer.
