Role Summary
The Event Manager works in collaboration with Resorts Services, Security, Landscape, Maintenance, Guest Services, Food and Beverage, Marina and Golf Course teams to ensure the successful planning and execution of all events. The position coordinates and prepares event documents, floorplans, correspondence, and all details to complete well executed events. They will prepare event documentation for both internal and external stakeholders to ensure consistent, high level service throughout pre-event, event and post-event phases. The Event Manager recognizes opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding events. The Event Manager is an ambassador of Friday Harbour and must ensure that each guest has a memorable experience.
**Responsibilities**:
- Work with Events and Programming Assistant Director to ensure the timely completion of BEOs, event resumes, floorplans, event schedules, vendor arrivals, and all aspects of the event as assigned
- Collaborate with internal stakeholders to identify operational requirements and serve as liaison to external stakeholders throughout the event planning process
- Lead and facilitate event meetings to support the planning and execution of events
- Ensure billing accuracy and conduct bill reviews with the guests and the Finance department
- Assist with monitoring and responding to private event inquiries
- Coordinate and communicate verbally and in writing with all key stakeholders regarding event details
- Act as liaison between Friday Harbour colleagues and guests throughout the event process
- Always make presence known to guests during the preparation and execution process
- Available to solve problems and/or suggest alternatives to previous arrangements
- Integrate current trends in event management and event design
- Interact with guests to obtain feedback on product quality and service levels
- Respond to and handle guest concerns and complaints
- Empower colleagues to provide excellent customer service
- Solicit feedback from the resort departments to identify areas for improvement to enhance the event planner’s experience
- Distribute all requests to the appropriate division in a timely manner
- Develop and maintain departmental operational policies and work procedures
- Ensure that applicable policies and procedures, regulatory ordinances, governing laws and generally accepted protocol and practices are followed
- Build strong relationships with local community and local businesses
- Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
- Adhere to all environmental policies and programs as required
- Other duties as assigned
**Requirements**:
- Post-secondary education in Hotel and Restaurant Management, Hospitality, Business Administration, or related field
- 5-10 years’ previous experience in event planning or event execution role
- Meeting Planners International designation is considered an asset
- Experience in a luxury resort environment
- Strong knowledge of the local area
- The ability to come up with unusual or clever ideas about products, services or situations, or to develop creative ways to solve a problem
- Must possess excellent customer service skills
- Must be computer literate and knowledgeable with Microsoft Word and Excel. Previous experience with property management, sales and event management software and asset, Microsoft Word and Excel
- Strong verbal and written communication skills
- Excellent time management and organization skills, including multi-tasking, and meticulous attention to detail
- Detail-oriented and works with a high degree of accuracy
- Ability to multi-task in a fast-paced environment
- Must be extremely responsible with integrity and ability to maintain confidentiality and discretion
Working Conditions
- Must be able to work flexible hours including evenings, weekends and holidays
- Required to move, lift, carry, pull and place objects weighing less than or equal to 25 pounds without assistance
- Stand, sit or walk for an extended period or for an entire shift
- Reach overhead and below the knees, including bending, twisting and pulling
