The Hamilton Health Sciences Volunteer Association (HHSVA) is hiring We are looking for a Human Resource Associate to join our diverse and engaged team.
The HHSVA is a not-for-profit registered charity that donates all proceeds to enhance patient care and quality of life for the Hamilton Health Sciences (HHS) community through the operation of retail and parking facilities within the HHS family of hospitals. Since we operate inside a healthcare facility, health clearance is required before joining our team. Part of that health clearance process is providing proof of full vaccination against COVID-19 or providing a documented exemption to be approved by Hamilton Health Sciences.
The Human Resources Associate is responsible for providing operational support for Human Resources functions including predominately recruitment and selection, health & safety, training & education and labour relations.
RESPONSIBILITIES:
Recruiting
- Responsible for Workforce Now new employee information control which includes employee activation and reactivation
- Assists with new hire onboarding
- Inputs key metrics into respective KPI charts
- Manages uniform inventory and distributes HHSVA staff uniforms
- Records minutes or notes at meetings as required.
- Assists with planning/coordination of new initiatives/programs and participates in different activities/events e.g., wellness, culture, equity, diversity and inclusion initiatives
- Records minutes or notes at meetings as required
- Performs other related duties as assigned or as noted in full job description.
Health & Safety
- Ensures relevant SDS sheets are on the shared drive for all controlled products and updates SDS master list
- Upkeeps First Aid Kit stock levels
- Updates respective Injuries Per Area Reports and related posters and tracks metrics
- Monitors and tracks monthly workplace inspections
- Sets up Zoom JHSC meetings, attends meetings, takes meeting minutes and circulates minutes
- Assists Director of Human Resources with claims management
- Performs other related duties as assigned or as noted in full job description
Training & Education
- Updates employees ADP Talent profile in Workforce Now for all mandatory training courses and monitors for compliance
- Assists Director of Human Resources with registration of staff’s enrollment in all approved training courses from yearly budget
- Assists all Managers with orientation paperwork for new hires
- Performs other related duties as assigned or as noted in full job description
Labour Relations
- Updates and maintains up to date copies of all organizational charts and staff lists
- Assists with staff surveys as required
- Monitors feedback in peer-to-peer platform for compliance and notifies Director of Human Resources of issues as they arise
- Provides administrative assistance to Director of Human Resources with staff recognition programs
- Assists with Performance Review administration on an annual basis
- Performs other related duties as assigned or as noted in full job description
**QUALIFICATIONS**
- Preferably an understanding and/or experience in human resource functions, ideally with 2+ years’ experience
- Prior experience recruiting, specifically interviewing, is preferred
- CHRP designation, or working towards it, is an asset
- Possesses integrity and honesty and is able to maintain confidentiality
- Proven ability to take concise and well organized minutes
- Excellent interpersonal and customer service skills
- Demonstrated ability to use all facets of Microsoft Office effectively
- Experience preferred with ADP, Workforce Now
- Effective written and verbal communication
- Proficient keyboarding skills
- Excellent organizational skills
- Demonstrated ability to work effectively in a team environment
- Ability to multi-task effectively and work on their own initiative
- Demonstrated ability to meet project and task deadlines
