**Overview**

**Duties**
- Office management responsibilities including ordering/inventory management of office supplies, scheduling service providers and liaising with building property management on maintenance requests or issues
- Update and manage a set of reports mandated by the client on a daily, weekly and as needed basis
- Complete administration tasks for the builder client including preparing documents, forms, letters, correspondence & contracts, communication with purchasers & realtors, reviewing documents and checking for irregularities & errors
- Maintaining a visitor/registration log with accurate source data collection and proficient in report summary and analysis
- Identify & communicate issues as they come up and work with the team to determine best solutions, keeping in mind the Company’s fiduciary duties to clients
- Communicate directly with 3rd party builder clients, c-suite executive team and sales office sales & admin teams in a professional and proficient manner

**Requirements**:

- Previous experience as an Administrator or in a similar role within pre-construction sales environment or high volume real estate office
- Proficiency with Microsoft Suite (Outlook, Word, Excel & PowerPoint)
- Experience with CRMs (Mailchimp, HubSpot, FollowupBoss) or similar
- Experience with Sales Management platforms (BlackLine, Avesdo, SaleFish) or similar
- Experience using DocuSign, SignNow or similar
- Familiarity with phone systems and strong phone etiquette skills.
- Excellent customer service skills with the ability to communicate effectively both verbally and in writing.
- Strong attention to detail with proven proofreading abilities.
- Basic clerical skills including filing, data entry, and record keeping.
- Ability to work independently as well as part of a team in a dynamic environment.

**Hours: Monday to Wednesday/Thursday 11:45am - 7:00pm | Sat & Sun 11:45am - 6pm**

**Fridays closed - choice of Weds or Thurs off**

Some additional hours may be required from time to time with advance notice and for the purpose of special events.

**Job Types**: Full-time, Permanent, Fixed term contract
Contract length: 12 months

Pay: From $22.00 per hour

Expected hours: 40 per week

Additional pay:

- Overtime pay

- Monday to Friday
