Reporting to the Retail Property Manager, as the Property Administration Assistant you are responsible for aiding the Property Manager and Property Director in conducting his/her mandated duties in support of the tenant relation and property management functions. You are responsible for creating Purchase Orders, collecting tenant arrears, invoicing tenants, lease administration set up. In addition, you will assist the Property Administrator, Property Manager and Property Director with the preparation of the annual income and expense budgets, reports, and coordinating property events; and other administrative tasks as required.

**Responsibilities**:
Establish and maintain professional working relationship with tenants, vendors, building security, cleaners and various contractors to ensure smooth operation of the property.
Assist on tenant relation functions and monthly/quarterly reporting requirements.
Assist in maintaining property-specific emergency procedures and make periodic updates to the Tenant & Construction Guides/Manuals.
Assist in monitoring cost control projects monthly to ensure their accuracy and that the appropriate approvals are in place. Set up Lease Amortization Charges and prepare required reconciliations.
Monitor the Purchase Order system and the Real Estate Administration system and effectively resolve any issues with Real Estate Accounting & Administration. Process invoices for payment by Head Office and respond to requests from Real Estate Accounting & Administration.
Assist with the annual budget planning and processing.
Prepare monthly retail and parking revenue reports for the property.

**Qualifications**:
Post-secondary education (College diploma or University degree) or equivalent work experience.
General knowledge of real estate policies and procedures.
Experience using Yardi Software would be an asset.
Good organizational, time management and priority setting skills to meet tight deadlines.
Proven ability to work independently and as a team player.
Sound analytical and problem-solving skills, with the ability to interpret complex leasing data.
Good influencing and communication skills and the ability to build and maintain effective relationships.
