**Summary**
Reporting to the Administrative Manager, The Client Service Coordinator will be responsible for the effective scheduling of staff throughout Partners In Community Nursing (PICN), ensuring appropriate coverage for all clients, and assigning sufficient coverage during employee absences, and in emergencies. The incumbent will be tasked with reviewing all time sheets to verify records of assignments and any changes. Other duties will be assigned as necessary.
**Job Duties**
- Promote PICN mission and encompass PICN values of accountability, compassion, adaptability and respect.
- Fax, photocopy and scan documents as required.
- Address changes to staffing by ensuring appropriate coverage is maintained at all times.
- Receive and process HPG referrals and medical orders in a timely manner.
- Accepts client referrals and inputs client data in the computer client database
- Demonstrates awareness of client safety issues, the impact of service coordination on client safety and responds appropriately by accessing a manager as required.
- Complete Shift Schedules for both families and employees while managing deadlines.
- Occasionally provides after hours on call for client concerns
- Support co-workers with teaching and mentoring as needed
- Assist with coordinating buddy shifts for employees, communicating training with both the trainer and family.
- Communicate effectively employees, clients, and families when experiencing scheduling challenges
- Display strong problem-solving abilities, re configuring schedules as needed to cover shifts
- Maintain staffing reports and staffing projections for the week.
- Ensure integrity and confidentiality of client and employee data.
- Confer with HR and management to resolve employee performance concerns, complaints and challenges.
- Constantly look for improvements and help implement solutions.
- Provide assistance with clerical and technical support for employees.
- Help to maintain accurate, up to date and complete personnel records.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Add new material to files and records.
- Provide research as requested.
- Provide general information and assistance internally and externally over the phone, electronically and in person.
- Ensure nursing tasks are appropriately assigned
- Any other duties as assigned.
**Requirements**:
- High school diploma, GED or other equivalent.
- College Certificate in Medical Terminology
- Two years of experience as a Scheduling Coordinator preferred.
- Experience in the Health Care industry preferred.
- Strong knowledge of Alayacare and Health Partner Gateway (HPG) software systems, as well as Microsoft Office products, including Excel, Word, and Outlook considered an asset
- Excellent analytical and problem-solving skills.
- Meticulous records maintenance skills.
- Ability to remain calm in all circumstances, appropriate stress management skills.
- Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
- Superior telephone manners and strong interpersonal skills (written and verbal).
- Effective attention to detail and a high degree of accuracy
- High level of integrity, confidentiality, and accountability
- Sound analytical thinking, planning, prioritization, and execution skills.
- Must be available to work a combination of days/evenings/weekends/holidays.
**Working Conditions**
- Interacts with clients, staff, visitors, government agencies/personnel
- Manual dexterity required to use desktop computer and peripherals.
- Sitting for extended periods of time
- Occasionally lift and/or move up to ten (10) pounds.
- Overtime as required
