An exciting permanent Full-Time opportunity as an Administrative Assistant to the Financial Administrators exists in the Department of Family and Community Medicine (DFCM) which includes the Women’s College Hospital Academic Family Health Team (WCHAFHT), which is one of the largest Family Practice Units within the University of Toronto with over 40 Staff Physicians, 30 Residents and Fellows, and associated Healthcare Professionals and Support Staff. This position reports to the Department Head for Primary Care or designate. This position will provide the opportunity to work on site and remotely.

The Administrative Assistant provides administrative support to the Physician Financial Administrators and Physician Finance Lead in the operation of the DFCM Business Office and physician monthly billings.

**Summary of duties, but not limited to**:

- Ensures efficient operation of the DFCM Business office; develops, organizes and maintains electronic and paper information filing/retrieval methods, systems or formats; the production of complex documents/materials.
- Assists with the planning and implementation of Business Office priorities by developing standardized procedures and ensuring program deadlines and deliverables are achieved.
- Coordinates and support relevant Business Office communications.
- Provides program information to physicians, leaders and learners.
- Enters relevant data such as revenues from all sources (OHIP, WSIB, IFH, RAMQ, WCH/RI, etc.), into relevant system and generate monthly reports accordingly.
- Identifies and rectifies payment discrepancies; liaise with OHIP to ensure pay adjustments are completed as directed.
- Ensures accurate payments by utilizing the RAI system to correct or adjust claims as required.
- Maintains and tracks OHIP and office inquiries, review responses; determine next step.
- Coordinates the processing of electronic transactions through Moneris.
- Supports the onboarding of new Family Health Organization (FHO) for primary care program members including bill-books setup.
- Maintains physicians’ rosters including roster reconciliation.
- Using the PSS EMR to support OHIP billing for various primary care programs in the Department of Family and Community Medicine in collaboration with the Financial Administrators.
- Supports the preparation of various reports such as receivable and rejected reports.
- Support the preparation of drafting correspondence for past-due accounts and collections and follows up on past-due payments in collaboration with the Financial Administrators.
- Assists with preparing with month-end and year-end tasks, including annual reporting.
- Assists in maintaining accurate records of all receivables, invoices, supporting documentation and statements in accordance with office records retention policies and practices.

**Qualifications/Skills**:

- Post-secondary degree/diploma required
- 2-5 years recent related experience in medical billing and bookkeeping, preferably in a family practice setting. Certificate or medical billing courses an asset.
- Demonstrated experience working with and supporting hospital leaders and physicians.
- Must have excellent organizational and administrative skills with strong attention to detail.
- Knowledge of health care, organizational/office practices, procedures, and standards required.
- Ability to produce high quality work in accordance with Hospital/DFCM Business office standards required.
- Ability to maintain confidentiality required.
- Well-developed skills in the Microsoft suite of products.
