MEMBER RELATIONS COORDINATOR

CPHR Saskatchewan is the professional regulatory association for human resource practitioners and ensures the protection of public interest and confidence in the practice of its members. The association is the granting body of the Chartered Professional in Human Resources (CPHR) designation within the Province of Saskatchewan. Reporting to the CEO / Registrar, the Member Relations Coordinator serves as the primary point of contact for all member inquiries and provides administrative support for the broader CPHR Saskatchewan team, particularly the Professional Standards Manager. This role is essential in maintaining strong relationships with members by addressing questions, resolving issues, and ensuring a positive experience with the organization. This role requires exceptional customer experience skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

MAJOR ACCOUNTABILITIES

Member Relations (60%):

- Responds promptly and professionally, providing accurate information and escalating complex issues when needed.
- Shares member feedback with internal teams to support service improvements and organizational goals.
- Monitors and reports on membership data, ensuring interactions align with organizational values and standards.

Financial Support (15%): 
- Manages membership payments and monthly reconciliations with accuracy and confidentiality.
- Prepares deposits, processes invoices, and reconciles accounts and credit cards on schedule.
- Supports the organization’s financial integrity by assisting with additional accounting tasks as needed.

Administrative Support for CPHR Designation (15%):   
- Lead logistics for the National Knowledge Exam (NKE), including registration, deferrals, cancellations, and accommodation requests.
- Coordinates with vendors on bi-annual CPHR/FCPHR designation certificate orders.

Broader Administrative Support (10%): 
- Provides administrative support to other areas of the team, as needed.  
- Be a responsive, trusted team member ready to help where help is needed
- Other duties as assigned

QUALIFICATIONS, SKILLS & EXPERIENCE
- Post-secondary education in Business or related field.  
- 1-2 years of relevant experience in administration, customer service, or a related support role.
- In-depth knowledge of Microsoft Office software and virtual collaboration tools, including Teams, Word, Excel and SharePoint.  
- Excellent interpersonal, verbal and written communication skills.
- Strong attention to detail and problem solving in a fast-paced environment. 
- Deals diplomatically with sensitive matters while exercising sound judgment, respect and discretion, maintaining confidentiality, tact and respect at all times. 
- Experience handling payments and with basic financial reconciliation.
- Experience with CRM systems or member management is an asset.
- Demonstrated ability to foster relationships and partnerships with internal and external stakeholders. 
- Presents a positive and professional image of the Association to all members, suppliers, inquiries, and other interactions.
