**Job Purpose**:
The role of the Sales and Purchasing Coordinator involves enhancing communication and operations coordination between the sales, purchasing, and production teams. Key tasks involve order processing, forecast management, vendor and customer relations, and providing crucial support to the sales and purchasing team. The role includes assisting in addressing issues, and maintaining accurate records. Additionally, the coordinator handles administrative duties, contributes to market research, and ensures a positive customer experience, collectively ensuring organizational efficiency.
**Key Responsibilities**:
- Responsible to assist in forecasting and scheduling sales and purchasing forward planning, and finalizing freight arrangements;
- Responsible for aiding in logistics to facilitate the shipping and receiving of products, ensuring punctual deliveries, and resolving transportation issues when necessary;
- Responsible to assist in the management of contracts, including reviewing terms, ensuring compliance, and renewing agreements as needed;
- Responsible for coordinating future shipments to customers in coordination with both the sales and operations departments;
- Responsible to generate reports on sales performance, inventory levels, and purchasing activities to support decision-making;
- Responsible for conducting data entry tasks related to sales and purchasing activities;
- Responsible to provide support to the sales team by preparing quotes, processing customer inquiries, and ensuring timely responses to customer requests;
- Responsible to review and maintain accurate records of sales transactions, purchase orders, and related documentation;
- Responsible to plan and manage all rail efforts based on forward planning requirements;
- Responsible to provide all necessary shipping and customs documents to customers, freight companies and brokers;
- Responsible to provide administrative support to the sales and purchasing team, including organizing meetings/visits, maintaining schedules, and managing documentation;
- Responsible for supporting the handling of customer inquiries, resolution of issues, and ensuring a positive customer experience;
- Responsible to assist in the selling and day-to-day activities of byproduct sales;
- Responsible to assist in the purchasing of raw product and developments of supplier programs;
- Other duties as assigned by the Director of Sales and Purchasing.
**Qualifications**:
- Strong analytical, organizational and problem-solving skills;
- Strong knowledge of computer software;
- Positive attitude, welcoming demeanor, and strong interpersonal skills;
- Ability to work independently and in a team environment;
- Demonstrated ability to work in a fast-paced environment with multiple simultaneous tasks;
- Adaptable to changing situations and tasks;
- Demonstrated administration experience;
- Driver’s license.
**Employment**:
- Standard workday is Monday to Friday 7:30 am to 4:30pm (1 hour lunch);
- Salary is based on knowledge and experience;
