**Job Description: Office Manager and Accounts Receivable Specialist**
**Position Overview**: We are seeking a highly self-motivated, adaptable, and organized individual to join our small business as an Office Manager and Accounts Receivable Specialist. As the sole office staff member, you will play a critical role in ensuring the smooth operation of our day-to-day activities. This is a relaxed yet dynamic work environment, perfect for someone who thrives on autonomy, understands concepts quickly, and can create their own efficient systems where little documentation exists.
**Key Responsibilities**:
- Accounts Receivable_
- Generate and send invoices to clients in a timely manner.
- Track payments and follow up on overdue accounts professionally and diplomatically.
- Maintain accurate financial records and reconcile accounts as needed.
- Assist with the preparation of financial reports and collaborate with external accountants or bookkeepers as required.
- _Address and resolve billing discrepancies efficiently.
- Office Management_
- Serve as the main point of contact for all administrative matters.
- Manage office supplies, equipment, and general upkeep.
- Organize and maintain both digital and physical files, ensuring confidentiality and accuracy.
- Identify inefficiencies in existing workflows and develop improved processes to enhance operational efficiency.
- General Support_
- Basic bookkeeping tasks
- Create and implement organizational systems and procedures where necessary.
- Monitor deadlines, ensuring timely completion of tasks and obligations.
**Qualifications**:
- Proven ability to work independently and manage time effectively.
- Strong understanding of office administration and accounts receivable processes.
- Excellent communication and interpersonal skills.
- Quick learner with the ability to grasp new concepts and technologies.
- Comfortable using office software (e.g., Microsoft Office, QuickBooks specifically QBO)
- High level of accuracy, attention to detail, and problem-solving skills.
- Adaptability and a proactive approach to managing a variety of tasks and responsibilities.
**Preferred Skills**:
- Previous experience in a similar role, particularly in a small business environment.
- Familiarity with cloud-based tools for file sharing and collaboration.
- Basic knowledge of Canadian business practices and compliance requirements Ministry of Transportation
