Warrington PCI Management is the largest commercial property managers in BC. The company manages approximately 18 million sq ft of retail, office, industrial, multi-family and marine properties throughout the Lower Mainland.

We are looking for an Assistant Building Manager to support a residential portfolio of properties in the Greater Vancouver Region.

**Primary Purpose**

The primary purpose of the Assistant Building Manager is to assist the Building Manager in providing the day-to-day operations of the building including hospitable and professional concierge services for the residents. The Assistant Building Manager will help coordinate contractors and respond to tenant requests in a timely manner. The Assistant Building Manager is expected to ensure the safety and wellbeing of the tenants of the building and to keep the building maintained to a high standard.

**Specific Responsibilities**

The Assistant Building Manager will at various time be responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the Company:
**Concierge**
- Greet residents with courtesy and respond to tenant requests in a timely manner
- Assist with package retrieval and delivery from couriers
- Coordinates move-ins and move-outs with the Building Manager
- Coordinates booking amenities including elevator
- Coordinates trade access with the Building Manager

**Rental Management**
- Advertise, set appointments, provide tours, and complete interviews to achieve 100% occupancy
- Manage the rental process for all tenants including all required paperwork for the rental of suites, permission of pets (if allowed), rental of parking and/or storage lockers
- Complete move-in and move-out condition reports
- Accurate collection of rent (by cheque only, all cash transactions to be at Head Office only)
- Deliver cheques to head office daily (cheques may not be held and uncashed for over 2 days)
- Deliver late rent notices, eviction notices, and any other notice required by Head Office
- Prepare, draft, and post notices, compile evidence for arbitration and attend arbitration if necessary
- Complete and maintain tenant files; contractor files; general files including working with parking management company (if required) to maintain parking stall list
- Program and maintain all access keys/fobs to building(s)

**Additional Responsibilities**:

- Manage and coordinate community events for building(s) as assigned by the residential team
- Provide relief coverage for the team - statutory holiday coverage or general vacation coverage.

**Building Management**
- **Daily Tasks**_
- Check building exterior and interior, minimum twice a day
- Ensure all doors and elevators are working properly
- Inspect all utility and storage rooms, clean as appropriate, ensure heaters are on or off depending on the season.
- Maintain all files, office area, and machinery (telephone, fax, etc.)
- Travel to required businesses for purchase of supplies, parts, tools, etc
- Carry a cell phone at all times and respond to emergency calls
- Respond to tenant inquiries and provide excellent customer service
- Work with others as designated by Head Office who will help maintain the Building
- Co-ordinate building and suite maintenance
- Ensure the building’s common areas and vacant suites are kept in a high standard and peak operating condition through:

- Cleaning & vacuuming (including common areas)
- Minor maintenance
- Minor touch up painting
- Clean vacant apartments
- Weed flowerbeds and other landscaping
- Shovel and salt sidewalks as needed
- Keep grounds and common areas attractive and clean
- Coordinate with trades, contactors to provide access and repair
- **Weekly Tasks**_
- Spot clean as necessary
- Sweep all secondary floor services
- Vacuum hallways and lobby
- Damp wipe all glass areas, mailboxes, elevator walls and panel, enterphone panel
- Mop all floor surfaces as necessary
- Keep parkade swept and clean, request tenants to clean up vehicle fluid/oil drops and inform the Property Manager (PM)
- Check roof and all other areas for cleanliness
- Inspect building exterior for possible problems and make arrangements for appropriate repair or quotation
- **Monthly Tasks**_
- Prepare monthly reports by the 5th of each month to Head Office
- Dust all light fixtures, exit signs, door frames & closures, nooks and crannies
- Issue polite notices to tenants regarding junk in parking stalls and “bikes on balconies”
- Perform monthly fire alarm testing and record in log book, check log books are up to date where applicable
- **Yearly Tasks**_
- Visit all suites and maintain a record of required work and condition
- Ensure all annual building maintenance is done, such as the annual fire test
- **Winter Season Tasks**_
- Ensure fire sprinkler system is winterized in the fall
- Maintain daily log of date, temperature, conditions and any work done
