**Rate of Pay**: Payband G (Start Rate: $33.55 per hour)

Preference will be given to qualified employees within the Full Time Support Staff bargaining unit, Appendix D (in the role for 6 consecutive months) and RPT employees who have passed probation at Mohawk College.

Reporting to the Director, Athletics & Recreation, the Athletics Operations Coordinator will lead operational activities within the department, including budget and salary tracking, administrative and business support, reports that guide the development of and support strategic initiatives aligned with the College’s Strategic Plan and Capital Planning and College investment initiatives. The incumbent will liaise with the office of the Vice-President Students and International and the Office of the Dean of Students.
**What you’ll be doing**:
**Financial** **Coordination**
- ** **Coordinates the budget management process including the preparation and monitoring of annual operational budgets for Athletics & Recreation and DBARC
- This includes coordination of the following processes for the above areas:
- Oversees the processing, allocation and approval of all budget expenses including corporate VISA cards (pcards), purchase orders, invoices, expense claims, inter
- departmental transfers, identifies planning factors to ensure the effective use of divisional financial resources and the appropriate reallocation of resources as necessary.
- Tracks and monitors budgets for strategic projects
- Coordinates submissions for the Capital Planning process, investment requests
- Compiles monthly data and provides monthly budget analysis reports to Director, Athletics & Recreation including ensuring that appropriate financial targets are met and identifying any budget issues or anomalies
- Develops, monitors, analyses and identifies risks associated with budget activity
- Processes all part-time contracts for all departments within Athletics
- Compiles all documentation required annually for the presentation of Compulsory Ancillary fees for Student Government board approvals.
**Office** **and** **Admin** **Support**
- ** **Provides administrative support to the Director, Athletics & Recreation and other administrative staff as needed
- Tracks data for all Athletics initiatives including compliance data, financial data and event/program data.
- Collaborates with Director to ensure departmental operations are in compliance with College and Divisional practices and policies and meet college compliance deadlines.
- Monitors the day-to-day operation of the Athletic offices.
- Checks and balances vacation and sick time tracking.
- Coordinates operational events such as departmental PD and all
- staff meetings and events
- Generates monthly and quarterly reports as required by the Director, Athletics & Recreation.
- Ordering supplies including on Banner and Eway
- Reviews and process payment on team Bell Mobility bills on a monthly basis
- Reconciles P-cards for admin staff and head coaches on a monthly basis
- Provide oversight for requests such as parking vouchers, room/event space booking, event planning, catering requests, print and marketing jobs, swag ordering/inventory, and facilities work orders
- Coordinates contract routing for agreements and contracts with vendors
**Communication**
- ** **Creates, maintains and distributes Athletics and Recreation contact lists.
- Updates and maintains organizational charts for the departments
- Assists with communication and execution of initiatives for the Athletics Foundation campaign.
- Collaborates with Service Areas (Student & International, Academic and Corporate) to produce Start Up communications documents.
- Coordinates all agendas and minutes for Athletics team meetings,
- Recommends and implements new improvements for the system and/ or services.
- Updates the Mohawk College online calendar of events
Other duties as assigned.
**What you’ll bring to the role**:
- ** **Minimum of 3-year diploma in Business, Accounting, Administration, Marketing/Advertising or similar field; or combination of education and experience
