Assistant to Insurance Advisor

**Overview**

The primary focus of the Inside Sales Insurance Advisor Assistant is to provide professional support to the Insurance and Investment Advisors on the day-to-day servicing of the Insurance and Investment book. This level of support requires a good understanding of Castle Financial, along with pertinent industry knowledge. This role is critical to the high level of customer service necessary to our internal stakeholders and external clients in order to maintain the ongoing success and integrity of the firm.

This position requires strong judgement, professionalism, prioritization, confidentiality, tact and diplomacy. Daily interactions will involve internal and external stakeholders, crossing time zones and cultures. The Inside Sales - Insurance Advisor Assistant works collaboratively across various departments within the organization.

**Duties and Responsibility**
- Assist the Managers with administrative and operational activities including, follow up and reporting on all active accounts; escalating concerns immediately.
- Investigate and answer client inquires in an accurate, timely, and courteous manner.
- Establish a proactive approach to servicing clients on an annual basis to ensure customer service excellence. Approach clients with matters related to their accounts. (I.e. address changes, account fees, annual payments.)
- Identify and manage conflicting priorities regarding timelines and Manager requests.
- Responsible for producing and communicating weekly and monthly reports to managers to provide up to date information of active cases.
- Upload all documents to the CRM system while maintaining the consistency of the database.
- Cultivate and enhance strong partnerships with internal, external and third party service providers.
- Assist any managing advisor(s), as deemed necessary, to provide integral support to the overall business function. This could go beyond the scope of duties outlined within this job description.
- General cleanliness and tidiness of office space - pride in your workspace.
- Rotating weekly snack and cleaning schedule with internal team.
- Shared responsibility of office duties.
- Attend weekly Round Table meetings in Castle office.

**Insurance Book Support**
- Assist with ongoing servicing of active clients. Answer any service needs that arise, or as directed by the Manager, by liaising with the client.
- Inform clients of premium payments due (30-day reminder notice). Collect and submit annual payments.
- Inform clients of interest payments due (30-day reminder notice). Collect and submit annual payments.
- Gather all necessary documentation to prepare loan renewals.
- Collaborate with accountants on an annual basis to provide them with pertinent information on mutual clients:

- Year-end information I.e. CSV, interest, loan balance.
- Prepare Life Insurance quotes, as requested by Manager, using internal software.
- Request Life Insurance quotes, as requested by Manager, from external partners.
- Inform Manager of Life Insurance Term renewals as they come due.

**Salary**: $50,000.00-$60,000.00 per year
