**Job Description: Sport Administrative Assistant**

Division: Sport

Reports to: Capacity in Sport Manager

Location: Regina

**Job Overview**

Provide professional administrative assistance and office management services that will support the grant funding and coaching program. Supports the achievement of objectives that enhance the efficiency, effectiveness, and overall success of Sport Division initiatives and projects. Engages in internal communication across Sask Sport teams, contributing to collaborative discussions, and ensuring administrative practices and procedures are clearly understood by those they support.

**Primary Duties and Responsibilities**

**1) Grant Funding**
- Provide comprehensive administrative support for grant processes.
- Assist with the intake of grant submissions, ensuring completeness and timely processing.
- Monitor and track grant deadlines and send timely reminders.
- Accurately enter and maintain grant-related data in internal systems and databases.
- Schedule and coordinate review committee meetings, including preparing necessary materials.
- Respond to inquiries and provide guidance on grant procedures and deadlines.
- Prepare and distribute grant-related correspondence and other administrative documents.
- Maintain accurate and organized files and documentation.
- Demonstrate a solid understanding of grant programs and guidelines.
- Provide administrative support for specific grant programs.

**2) Coaching Program**
- Provide administrative support for the Coaches Association of Saskatchewan and the Indigenous Coaches & Officials Program.
- Assist with data entry in systems and databases.
- Communicate with external and internal stakeholders.
- Provide participants and facilitators with workshop specific details.
- Prepare and distribute correspondence and other administrative documents.
- Maintain accurate and organized files and documentation.

**3) Reception Support**
- Reception support as assigned resulting from lunch cover, vacations, sick days, or other absenteeism.

**4) Other administrative duties as assigned.**
- Support other administrative staff or new team members.

**Knowledge, Skills, and Abilities**
- Demonstrated skills in the following areas:

- Strong administration, organizational, and time management skills with attention to detail.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams), Zoom and Adobe.
- Demonstrated abilities in the following areas:

- Self-motivated, proactive and enthusiastic.
- Skilled in managing diverse responsibilities and balancing multiple priorities effectively.
- Capable of working independently while also thriving in collaborative team environments.
- Strong analytical and problem-solving abilities including identifying challenges and recommending improvements.
- Applies sound judgment and initiative to streamline workflows.

**Qualifications and Experience**
- Administration Certificate or Diploma, or similar education and/or training; and
- 2-4 years' experience in an administrative role that demonstrates the ability to perform the duties required for this position.
- Knowledge of the provincial sport delivery system is an asset.
- Experience in the non-profit sector is an asset.

**Working Conditions**
- Full time, permanent (37.5 hours per week).
- Overtime work may be necessary due to meeting support from time to time.
- Office environment.
