**Unit Description**:
With three programs (MELD, MODEL and MERGE), the McMaster English Language Development (MELD) office provides comprehensive and dynamic programming for undergraduate and graduate students whose first language is not English.

**Job Summary**:
Responsible for supporting, providing information and advice to students, which requires a thorough knowledge of the department’s programs and services, including course and program requirements. Also responsible for providing recruitment, marketing, and administrative support for a program or department. Requires independent decision making within a delegated area of authority and the exercise of leadership in the management of support services. Requires performing a full range of duties in Mandarin.

**Purpose and Key Functions**:

- Respond independently to inquiries that are specific in nature and require a thorough knowledge of established programs, policies and procedures.
- Advise registered and prospective students of program options and requirements.
- Write a variety of documents such as correspondence, reports, speeches, briefs and procedure manuals in English and Mandarin.
- Develop student surveys and disseminate surveys to applicable groups to identify interests and concerns of students.
- Coordinate timetables in consultation with staff. Ensure that there are no conflicts and work with staff to resolve scheduling conflicts.
- Update and maintain information in a variety of databases and spreadsheets.
- Collect, analyze, assess, and summarize information relevant to the decision making process and develop recommendations for final approval and implementation.
- Maintain student’s satisfaction database and draw insights from data to make recommendations on future programming.
- Investigate questions and resolve problems concerning program, curricula, and admissions.
- Promote the program to visitors and representatives both internal and external to the University.
- Represent the program at various recruitment events.
- Implement all social media initiatives for the department.
- Assist in the implementation/management of the department’s Customer Relationship Management (CRM) system, ensuring content is accurate and up to date.
- Prepare and deliver presentations.
- Implement and provide feedback on traditional and digital marketing and communication initiatives for various audiences.
- Collaborate on developing and revising marketing and advertising brochures, newsletters, and other program materials for a variety of purposes, functions, and events.
- Identify new opportunities and support efforts to recruit new students.
- Assess services and make recommendations on the needs of the programs.
- Plan and coordinate workshops, meetings, and special events, including recruitment events.
- Prepare informational materials to increase awareness of services and activities.
- Inform students about processes and procedures such as for requesting documents (i.e. transcripts and certifications).
- Empathize with upset individuals and refer them to the appropriate contact.
- Attend and participate in meetings.
- Assemble and mail/distribute program information packages.
- Open and distribute incoming mail. Prepare outgoing mail and courier shipments.
- Maintain filing systems, both electronic and hard copy.
- Maintain confidentiality of information.

**Supervision**:

- Ensure adherence to quality standards and procedures for short-term staff and volunteers.
- Provide orientation and show procedures to others, as needed.

**Requirements**:

- 3 year Community College diploma in Office Administration or related field.
- Requires 3 years of relevant experience.
- Must be bilingual (fully fluent) in English and Mandarin.
