SUMMARY

Do you have a warm and welcoming personality? Are you passionate and skilled in hosting and operating a well-organized front reception? As a Receptionist you will be the first point of contact. Daily activities include offering administrative support for the organization. You will be first to welcome and greet guests. You will also coordinate front desk operations, including distributing correspondence, answering general inquiries, and managing meeting schedules. To be successful, you should be able to effectively manage time and streamline office operations. Ultimately, the Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

RESPONSIBILITIES
- Refer all inquiries to the appropriate individuals, divisions, or departments
- Order and maintain office and boardroom supplies
- Organize, maintain, and coordinate office records and files in their proper location
- Compile data for various reports
- Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there.
- Greet and welcome guests as soon as they arrive at the office. As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Observe and report any security, maintenance, or cleanliness issues to the

Corporate Facility Manager.
- Type forms, letters, reports, and memos as necessary.
- Maintain stock and cleanliness of mailroom
- Maintain lobby and front reception cleanliness with a high attention to detail
- Open and distribute any mail that arrives to the office
- Order front office supplies and keep inventory of stock
- Support daily lunch program operations

**REQUIREMENTS**:

- Post-secondary education in office administration or equivalent
- Minimum of 2 years of direct work experience in a receptionist capacity
- Adjusts and is flexible to meet changing work needs and demands
- Knowledge of supplies, equipment, and/or services ordering
- Strong knowledge of Microsoft Office Suite and other software
- Able to maintain filing systems and basic databases
- Superior telephone manners and strong interpersonal skills
- Strong written and verbal communication skills
- Professional and confidential always
- Food Service experience and Safe Food Handling Certificate are considered an asset
- Budget conscious and seeks to identify cost saving opportunities

**Job Types**: Full-time, Permanent

**Salary**: $18.00-$20.50 per hour

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (preferred)
- Administrative experience: 1 year (preferred)
