Reporting to the Manager, Policy and Governance, the successful applicant will be part of a high functioning administrative team that provides confidential administrative support services to the Secretary-Treasurer’s Department and the Board of Education.
The successful applicant will work directly with the Executive Assistant on the preparation of all board related materials and management of meetings. Duties will include preparation and production of board/committee packages, reports, correspondence, and presentations. Attendance at board and staff meetings is required to take minutes, transcribe, and distribute meeting documentation to stakeholders. Additionally, the ability to coordinate multiple calendars, maintain records, and perform general administrative tasks while using sound judgement to resolve issues as they arise are key components of the role.
This position provides direct support to executives and the Board of Education in the absence of the Executive Assistant. A high level of expertise in all areas of office practice and procedures and the ability to work independently and prioritize time sensitive projects while maintaining discretion and diplomacy is essential.
**Applicants will possess**
- A diploma in Office Administration or equivalent.
- A minimum of five years’ administrative work experience at a senior leadership level.
- Advanced computer skills, including proficiency in Windows, MS Office Suite, and Adobe Acrobat.
- Experience working with elected officials and the public is desirable.
- Post secondary courses in management, business administration, or a related field and working knowledge of eScribe and Roberts’ Rules of Order would be an asset.
This full-time position is based at the district education centre and not at a school. Public Board meetings take place once a month in the evenings, and committee meetings may be scheduled after 4pm. Flexibility to work after hours work will be required for attendance at board/committee meetings.
