**Position Overview**
The Tenant Coordinator is responsible for acting as a liaison between tenants, property owners and the construction team to ensure timely and successful project delivery. The Tenant Coordinator actively communicates tenant concerns and coordinates project planning to accommodate and coordinate Tenant Design issues, to streamline the project delivery and ensure specific design requirements unique to the Tenant Improvement are facilitated.

**Responsibilities and Primary Tasks**
- The Tenant Coordinator is the primary point of contact for tenants regarding construction updates, potential disruptions, and project timelines. They will ensure tenants are informed and engaged throughout the process.
- Addresses tenant concerns, questions, and requests related to the construction project. This may involve scheduling meetings, responding to inquiries, and documenting tenant feedback that is shared with the project delivery team (Project Manager & Superintendent)
- Coordinates with Jacob Bros team to ensure that construction activities are planned and executed in a way that minimizes disruption to tenant and to the planned workflow for the base building. This may involve coordinating access to units, managing work schedules, and ensuring compliance with safety protocols
- Tracks and maintain records of tenant communications, concerns, and project-related documents
- Represents Jacob Bros to the public in a manner that is consistent with company values and goals
- Helps resolve conflicts or disputes that may arise between tenants, property owners and our team
- Maintains accurate and up-to-date documentation including project schedules, drawings, permits, and correspondence.
- Ensures closeout documentation, final inspections, and occupancy requirements are completed before tenant move-in.
- Demonstrates strong understanding of contract documents (MMCD & CCDC).
- Leverages understanding to manage all contractual obligations, project milestones, contract administration
- Negotiates successfully and represents project matters on behalf of the company.
- Performs related duties as assigned by the Project Manager

**Reporting Relationships**
The Tenant Coordinator reports to the VP Operations.

**Minimum Qualifications**
- 2-5 years of experience in commercial real estate, tenant coordination, construction project management, or related role.
- Excellent English verbal, written and strong interpersonal communication skills.
- Bachelor’s Degree or Diploma in Communications, Construction Management, Civil Engineering or a related discipline (or combination of relevant experience and education).
- Advanced knowledge of construction methods, techniques, drawings, standards, specifications, health & safety, and quality.
- Ability to read, understand and interpret contract documents, drawings, specifications, scopes of work and project schedule.
- Demonstrated planning, organizational and time management skills with demonstrated ability to multitask and prioritize work.
- Demonstrated flexibility and ability to work in a fast-paced environment with multiple competing priorities.
- Knowledge of construction processes, building systems, permitting, and commercial lease agreements.
- Ability to work a varied schedule, including night shifts if required.

**Preferred Qualifications**
- Experience with HeavyBid estimating software is an asset.
- Experience with Procore Project Management software is helpful but not a pre-requisite
- Potential exists for this role to be a combination of Project Management and Tenant Coordination

**Work Environment**
The Tenant Coordinator works primarily from the construction site.
