**The opportunity**:
The Executive Assistant is responsible for providing effective, confidential administrative coordination for the Associate Vice President, Donor Relations. The Assistant fosters and maintains effective and efficient office operations and anticipates and supports the AVP’s activities. This role entails substantial demands and requires a high level of tact and diplomacy in daily interactions with senior internal and external University stakeholders, donors, and community representatives.
**The qualifications and experience we’re looking for**:
PREFERENCE WILL BE GIVEN TO INDIGENOUS CANDIDATES. APPLICANTS MUST SELF-DECLARE ON THEIR COVER LETTER/RESUME AS INDIGENOUS (FIRST NATION, METIS AND/OR INUIT).
- Diploma in Business Administration, or formal secretarial training, is required.
- An undergraduate degree is preferred.
- Minimum of 5 years directly related administrative experience at a university, government department, private agency or foundation with at least 2 years of general office experience at a senior level is required.
- Experience in a post-secondary institution is preferred.
- Thorough knowledge of university policies and procedures as well as understanding of the relationship between various units and decision-making bodies is preferred.
- An acceptable equivalent combination of education and experience may be considered.
- Must be proficient in the use of Microsoft 365 and Teams and able to support others in their use of these programs.
- Superior organizational skills and the ability to anticipate and resolve problems is required.
- Excellent oral and written communication skills are required.
- Strong critical thinking skills and exceptional judgement is required.
- Must be able to manage and protect confidential information.
- Strong time management skills are required.
- Must be proficient in multi-tasking to meet multiple deadlines.
- Must pay attention to detail and follow instructions.
- Must be able to work independently and in a team environment.
- Ability to synthesize information and take minutes is required.
- Must have to the ability to prioritize work.
- High degree of competency with word processing, spreadsheet, presentation and online meeting software is required.
- Must be able to perform all duties in a professional and diplomatic manner.
- Must have high energy level and a positive attitude, must enjoy challenges, and cope well with change.
- High level of commitment to the University of Manitoba community and the mission of Donor Relations, is required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
