Receptionist/administration

Key Responsibilities:
- Answer and manage inbound calls professionally, directing them to the appropriate team members as necessary.
- Schedule and confirm client appointments, ensuring an efficient and organized calendar.
- Reach out to leads, follow up with prospective clients, and assist with client onboarding.
- Manage accounts with key clients, maintaining strong professional relationships.
- Process and send invoices, ensuring accuracy and timely follow-ups for outstanding payments.
- Monitor and respond to inbound text messages and online inquiries.
- Maintain the front desk and reception area, keeping it clean, organized, and welcoming.
- Greet and assist visitors, ensuring a positive and professional first impression.
- Manage office supplies inventory, placing orders as needed.
- File and organize physical and digital documents for easy retrieval.
- Assist with data entry and maintain client records in the CRM system.
- Prepare meeting rooms for internal and external appointments.
- Coordinate mail and package deliveries.
- Support additional administrative tasks, such as preparing reports or managing office communication.
Qualifications:
- High school diploma or equivalent
- Proven experience in a receptionist, administrative, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM software.
- Excellent written and verbal communication skills.
- Strong multitasking and time management abilities.
- Exceptional organizational skills and attention to detail.
- Professional demeanor and a positive attitude.

Pay: From $18.50 per hour
Expected hours: 40 per week
