Reporting to the Director, Admissions and the Manager & Associate Registrar, Graduate Studies the Graduate Admissions and Awards Officer is responsible for the coordination and administration of the School of Graduate Studies’ (SGS) admissions process, scholarships, funding programs, transfer credits and the administration of the SGS visiting/exchange student programs.
**Summary of Responsibilities**:
- Support the overall strategic admissions and recruitment planning, including program/events and communications
- Work with the Admissions & Recruitment and the School of Graduate Studies departmental staff, OCAD University (OCAD U) students, faculty and other staff to ensure current knowledge of programs, policies, procedures, and admission requirements
- Oversee the Graduate Studies scholarship & assistantship programs, coordinating the approval, selection, funding processes and allocation for selected awards, determining eligibility requirements, selection criteria and processes while overseeing resources and competitions; liaise with Finance and Student Accounts; consult and work closely with the Development & Alumni Relations office
- Oversee and approve tuition refunds, confirming compliance with funding policies and procedures.
- Oversee and track transfer credit, reinstatements, and Leaves of Absence
- Oversee the visiting/exchange students program, (e.g. for international students and for domestic students through the Ontario Visiting Graduate Student Agreement (OVGS) or Canadian University Graduate Transfer Agreement (CUGTA)) including co-ordination of the transfer credit approval and tracking processes
- Provide administrative support to the Graduate Program Admissions Committees and Graduate Scholarships & Awards Committee; including booking rooms, preparing and distributing meeting packages, drafting agendas, taking minutes and ensuring that motions are communicated to Senate and implemented once approved
- Provide clear and effective communications, academic advice and administrative support to new students, current students and faculty regarding Graduate Studies policies and procedures
- Participate on relevant University committees, professional associations and external networks, as required, including representing the University at conferences, workshops and events
- Contribute to the development of diversity, equity, inclusivity, and accessibility (DEIA) strategies throughout all admissions programs, services and communications
- Using the content management system, review and update Graduate Studies Admissions and funding sections of the OCAD U website as needed
- Document and maintain processes and procedures related to graduate admissions and funding.
- Assist in related functions contributing to the successful operation of the Admissions & Recruitment and Graduate Studies portfolios
**Qualifications**:
- Postsecondary degree or equivalent, with a minimum of four (4) years of administrative work experience, preferably in a post
- secondary environment dealing with graduate-level admissions, funding or graduate level programing; a graduate degree in an arts and design-related field an asset
- Excellent technical computing skills, including the ability to create documents, forms and templates using Microsoft Office Suite and Adobe programs; familiarity with databases, with a demonstrated ability to learn in-house programs and systems
- Proven ability to meet deadlines and work well with high volume, pressure and changing priorities
- Excellent interpersonal and oral and written communication skills
- Ability to work professionally and effectively with people at all levels in and outside of the college/university setting
- Demonstrated attention to detail, organizational skills, and the ability to take initiative
- Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
- Flexibility in work hours; must be willing and able to work occasional evenings, as required
**Compensation**:OPSEU Unit I, Appendix A, Grade A5; $66,925.74 to $87,958.44 per annum
**Hours of Work**:Monday to Friday, for a total of 35 hours per week.
