As a valued member of the Venue Services team, you will be responsible for assisting in the coordination and execution of tasks under the Conversions & Housekeeping departments while also supporting other departments under the Venue Services portfolio as needed.
- Assist with the preparation and coordination of staff schedules to ensure event readiness and operational efficiency
- Review event estimates and work orders to confirm staffing levels align with event requirements
- Coordinate vendor site visits, gather pricing details, and submit quotes for internal approval
- Manage the creation, submission, and tracking of purchase orders; ensure proper budget coding and timely vendor payments
- Develop and maintain Standard Operating Procedures (SOPs), process guides, and departmental documentation
- Support the recruitment process by coordinating interviews, onboarding sessions, and training schedules for new hires
- Collaborate with internal departments and venue partners to support broader Venue Services initiatives
- Other duties as assigned

**Qualifications**
- Post-secondary degree or diploma, preferably in a business-related discipline.
- Previous experience in coordination, event operations, or administrative role (venue or facility experience is an asset)
- High degree of time management and organizational skills.
- Ability to work flexible hours including evenings, weekends, and holidays, based on event needs
- Ability to multi-task and manage evolving priorities.
- Knowledge of purchasing systems and vendor management is an asset
- Excellent interpersonal skills with the ability to quickly develop professional relationships.
- Excellent written and verbal communication.
- Proficient use of Microsoft Word, Excel, and Outlook.
- Ability to build and maintain professional relationships both internally and externally.
